Job Description
The Office of the Chief Medical Examiner investigates the cause and manner of death for deaths that occur under violent, suspicious or unexplained circumstances. As an Office Support Specialist, you will be assigned to 1 or more medical examiners.
Duties and Responsibilities:
1. Provide administrative coverage five days per week including one weekend day and holidays. This consists of answering phone inquiries coming into the administrative office from families, physicians, insurance companies and other public entities regarding our cases.
2. Respond to inquiries on behalf of your assigned medical examiner and when necessary, refer to appropriate staff as needed.
3. On a daily basis you will enter information from the Case Inventory and Tracking Sheet into our Electronic Death Reporting System (EDRS/VIP)) for all cases examined by the medical examiner on their scheduled autopsy days.

4. Each day you will be responsible for printing from CMTS all released paperwork attached by the Release Portal Staff and placing these documents in the corresponding record from a list of the prior days releases that you receive.
5. You will print laboratory and other reports when notified that the reports have been uploaded in CMTS and place in the corresponding record.
6. You will update once determined the cause of death (COD) and/or any amendments to a death record as needed when directed by the medical examiner. Once certified, you will release the record to the clerk for registration, update CMTS and attached all associated paperwork in CMTS. You will also upload the final death certificate in the Law Enforcement Portal (LE Portal).
7. Scan and attach all diagrams and the Case Inventory and Tracking Sheet for the day's cases examined into the Case Management Tracking System (CMTS) and file the record in the appropriate location.
8. As needed, take vital statistics and request documentation to resolve any discrepancies. Release paperwork to funeral directors through the OCME portal system during normal business hours. Upload and attached all required release paperwork. In CMTS.
9. Perform other duties as assigned.
Qualifications
First consideration will be given to those applicants that apply within the first 14 days.
Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
