Job Description

The Pappas Rehabilitation Hospital for Children (PRHC), operated by the Department of Public Health (DPH), is seeking three highly organized and detail-oriented Office Support Specialist I professionals to support the Social Work, Nursing, and Medical Records departments. The ideal candidates will be responsible for coordinating office activities, preparing reports and correspondence, scheduling meetings, and providing exceptional administrative support to their respective departments.

Schedule

These are full-time, 37.5-hour per week positions, Monday through Friday.

  • Provide general administrative support to the assigned department (Social Work, Nursing, or Medical Records).
  • Schedule and coordinate meetings, prepare agendas, and attend as needed.
  • Maintain department calendars, track deadlines, and support meeting logistics.
  • Assist with data entry, report preparation, and document formatting.
  • Respond to internal and external inquiries professionally and promptly.
  • Organize, file, and retrieve documents as needed.
  • Use software tools (e.g., Microsoft Office Suite, databases, spreadsheets) to generate reports and maintain data.
  • Support department-specific projects, events, and programs (e.g., employee education, patient communications, records updates).
  • Screen phone calls and direct to appropriate staff.
  • Serve as liaison between departments and outside agencies when needed.
  • Ensure compliance with office procedures, policies, and applicable regulations.

Required Qualifications

  • Excellent verbal and written communication skills.
  • Ability to multi-task and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office and database systems.
  • Ability to work independently and collaboratively within a team.
  • Strong organizational and problem-solving skills.
  • Ability to maintain confidentiality and use discretion when handling sensitive information.
  • Knowledge of standard office procedures, practices, and equipment.

Preferred Qualifications

  • Experience working in a healthcare, educational, or human services setting.
  • Knowledge of medical terminology or clinical environments (for Nursing and Medical Records roles).
  • Familiarity with case documentation or patient interaction (for Social Work role).

  • Use of standard office equipment including computers, phones, and printers.

Pappas Rehabilitation Hospital for Children (PRHC) in Canton, MA, is a 90+ bed Joint Commission Accredited pediatric hospital under the Massachusetts Department of Public Health. PRHC provides medical, rehabilitative, educational, and recreational services to children and young adults (ages 7-22) with multiple disabilities, helping them achieve independence and thrive in their communities.

Qualifications

Office Support Specialist I:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:

Substitutions:

I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.

II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Educational substitutions will only be permitted for a maximum of two years of the required experience.

Salary placement is determined by a combination of factors, including the candidate's years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division's Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
