Tewksbury Hospital (TH), operated by the Massachusetts Department of Public Health (DPH), is seeking a dynamic applicant for the Quality Office Support Specialist vacancy.
Under the direction of the Chief Quality Officer (CQO), the Quality Office Support Specialist is responsible for overseeing and providing administrative support to the Chief Quality Officer (CQO) and the Quality Management department. The Quality Office Support Specialist supervises the administrative functions of the office and staff. Coordinates and performs office activities, which include compiling data, preparing presentations and reports, committee minutes, organizing and scheduling meetings. Communicates closely with senior staff and their support staff regarding relaying information, assignments, and projects.

All personnel are expected to comply with hospital policies and applicable state and federal laws, including HIPAA and confidential peer review regulations which govern the privacy and confidentiality of patients and quality records.
Please Note: This position works 37.5 hours per week during the day shift, Monday through Friday. Days off are Saturday and Sunday.
Duties and Responsibilities (these duties are a general summary and not all inclusive):
1. Oversees and provides administrative coordination, scheduling and support to the Chief Quality Officer and the department.
2. Provides guidance, training, and supervision to subordinate personnel.
3. Develops, oversees, and maintains an organized process for retention of files and documents, including shared network files. Ensures the process for the retention of records, including shared network files, are organized in a confidential manner and retrievable as needed for operational and regulatory needs.
4. Conducts research related to quality, regulatory and patient experience, as directed.
5. Acts as liaison and responds to inquiries and provides information to internal and external contacts.
6. Coordinates and attends meetings, prepares meeting materials, takes minutes, and supports the follow-up for action items as directed.
7. Ensures office activities/workflow within the Quality Management department are operational and in compliance with hospital standards and/or guidelines.
8. Follows up on action items and retrieves information from leaders, physicians, and staff in preparing reports, presentations and meetings.
9. Uses computer software (e.g., Microsoft Suite Applications) to prepare reports and compile data.
10. Organizes and tracks time-off requests and absences to support the Chief Quality Officer.
11. May participate in hospital performance improvement activities, as appropriate.
12. Performs related duties as required.
Required Qualifications:
• Ability to use proper grammar, punctuation, and spelling.
• Previous experience in maintaining confidential quality files including investigation files and peer review files.
• Working knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Teams. - Ability to work independently and in teams.
• Working knowledge of the laws, rules, policies and procedures governing the state personnel system.
• Ability to prepare documents and reports accurately.
Preferred Qualifications:
• Knowledge of The Joint Commission and CMS and the importance of accreditation and certification.
• Skilled in exercising a high degree of initiative, judgement, discretion, and decision making to achieve objectives.
• Highly collaborative, creative style and flexible approach.
• Aptitude for working in fast-paced with an ever-evolving environment that has a high level of scrutiny

Qualifications
First consideration will be given to those applicants that apply within the first 14 days.
Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
Salary placement is determined by a combination of factors, including the candidate's years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division's Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
