Job Description

The Virtual Training Producer is responsible for the overall success of virtual events from a technical standpoint. They are a vital resource, assisting before, during, and after training. They are there to support the instructor, participants, and the technology.

Virtual Training Producers are the drivers of environmental engagement in the world of virtual and hybrid learning. Operating mostly behind the scenes, the Virtual Training Producer plays a crucial role in ensuring trouble-free operations, facilitating fast-paced interactions, keeping learners actively involved, and providing consistent support to the virtual classroom instructor. That collaboration often looks like this:

  1. Logistical Review: The producer raises any problems they identify with logistical information. They help the facilitator rehearse and run through the content ahead of time, ensuring any activities will run smoothly. They discuss any potential accommodations that may be required for learners.

  1. Technology Check: Before the class starts, the producer opens the virtual classroom and checks that all the settings are correct and that any polls or other activities are prepared and ready to go. They help the facilitator set up before any learners arrive, ensuring a clear audio connection as well as checking the visibility of any slides or videos being used.


  1. In-Class Support: This includes welcoming learners in the live online learning, providing technical instructions, signposting to resources using chat, and setting up whiteboards, polls, and breakout rooms. It might also include sending the facilitator timing prompts and notes about learners who aren't as active as others, taking attendance, and managing a recording, among other things.


  1. After-Class Wrap Up: The producer configures and distributes the recording, marks attendance and reports back on any other outputs from the class. They may send information to the learners about self-directed work or distribute follow-up details. Importantly, they'll debrief the class with the facilitator and make any recommendations for next time.


Responsibilities:

  • Set up and testing of virtual meeting space for live events.


  • Configuration and deployment of interactive activities in the identified virtual delivery platform.


  • Perform technology checks with presenters to ensure preparedness.


  • Confirm session timing and transitions.


  • Manage the technical delivery of live events: Provide technical guidance and instruction, track timing and deploy interactive activities, and provide technical support as needed.


  • Provide playback and reporting details to client post-session.


  • In between classes (non-live time), will maintain communication with instructors, perform pre-production tasks and assist with course structure (organization of content and activities).


Qualifications

Experience:

  • Up to 3 years of experience executing and managing live virtual events for corporate clients and audiences .


  • Proficiency in navigating virtual delivery platforms to manage content and interactive activities .


  • A thorough knowledge of virtual delivery platforms (Microsoft Teams, Zoom, Moodle, BigBlueButton , etc.) including their features, functionalities, and limitations.


  • Ability to provide best practice guidance to users .


  • Ability to troubleshoot and resolve common issues and assist presenters and participants in working through technical challenges .


  • Excellent verbal and written communication skills .


  • Knowledge of Microsoft Office applications such as PowerPoint, Word, Outlook, and Excel


  • Ability to manage stress and perform under pressure .
