About the Role:

The Briefing Coordinator is a member of the Secretary's operations team and works with said team, as well as the Governor's public affairs and external operations staff, on matters related to the Secretary's schedule and EOED events more generally. The Coordinator oversees the coordination of all event briefings for Secretary or other Executive Office staff and provides technical advice for events hosted by the Secretary or sponsored by other Secretariats, constituent groups, municipalities, or other outside entities in which this Secretariat plays a role. The Briefing Coordinator implements and organizes public relations communication plans with the communications team. The Coordinator contributes to the creation of the department's comprehensive strategy for public events, prioritizing the Administration's goals and key messaging. Duties involve work of highly confidential and complex environment, necessitating exposure to sensitive information, requiring considerable discretion, judgment, and diplomacy.

Duties and Responsibilities:(these duties are a general summary and not all inclusive):

  • Prepare advance briefings and other documents to include strategic reasoning for events and meetings as well as all pertinent background information as determined by the operations team. Plan and attend prep calls for external events and keeps the operations team apprised of important developments as they relate to EOED and the Secretary's schedule.
  • Liaison between the secretariat, divisions, agencies, and Governor's office on scheduling, grant packages, event planning and preparation when appropriate.
  • Implement a comprehensive strategy for public events and schedule prioritization for the Secretariat as informed by EOED and operations team goals.
  • Work under the direction of the Director of External Operations to plan, coordinate, and perform logistical support for events hosted and attended by the Secretariat. Provide technical assistance and support for events hosted by constituent groups, municipalities or other outside entities in which this Secretariat plays a role.
  • Coordinate work on public events and meetings with the Communications Offices of the Secretary and of the Governor. Make sure the Communications teams are kept informed of all timing necessary to produce press releases for Agency programs and events, talking points for speaking programs, and key messages for social media.
  • Attend events or meetings with the Secretary when an operations presence is needed - larger speaking programs, events or meeting with significant follow-up items, etc.

  • Background in government operations.
  • Strong interpersonal skills.
  • Strong planning and organizational skills.
  • Outstanding verbal and written skills.
  • Ability to respond under tight deadlines.
  • Ability to establish collaborative relations within state government.
  • Ability to effectively communicate and engender trust with local communities.
  • Flexibility and a willingness to listen is essential.
  • Demonstrated familiarity with the Administration's priorities and agenda.
  • Flexibility to work nights and weekends as needed.

Qualifications

MINIMUM ENTRANCE REQUIREMENTS:

Applicants must have at least (A) five (5) years of full-time or, equivalent part-time, professional, professional internship, administrative, supervisory, or managerial experience in business administration, business management, public administration, public management, clinical administration or clinical management or (B) any equivalent combination of the required experience and substitutions below.

Substitutions:

I. A certificate in a relevant or related field may be substituted for one (1) year of the required experience.

II. A Bachelor's degree in a related field may be substituted for two (2) years of the required experience.

III. A Graduate degree in a related field may be substituted for three (3) years of the required experience.

IV. A Doctorate degree in a related field may be substituted for four (4) years of the required experience.
