Job Opening:
The State Reclamation and Mosquito Control Board seeks applicants for an Administrative Assistant to perform the following duties:
The Administrative Assistant reports to the Superintendent and performs a wide range of administrative and office support activities to facilitate the efficient operation of the Project.
Responsibilities include:
- Compile pesticide usage reports for all applicators and application requests.
- Data entry in Excel and pesticide records into Frontier Precision software or appropriate software.
- Maintain the project accounting system, including posting all expenditures and balancing the Project account with the State accounting reports. To encumber and track funds for purchasing.
- Prepare bids to procure field and office equipment.
- Process invoices for payment on State Payment Vouchers.
- Assist in compiling and preparing a yearly spending plan and budget.
- Compute payroll records and submit them bi-weekly to SRMCB.
- Assist in reconciling, computing, and submitting a monthly retirement report and encumbering funds for the Project's contribution. Prepare and submit all necessary correspondence.
- Assist in reconciling a monthly report for health insurance. Submit forms for benefit changes for employees.
- Assist in compiling information, as needed, for monthly commission meetings, including reimbursement forms.
- Assist in data entry for all daily work done by the field technicians, which includes footage for water management and insecticide usage. Use Frontier Precision or other pesticide use reporting programs.
- Assist in preparing and submitting an account of yearly Project activities in an annual report for each member town. Keep file copy available.
- Assist in preparing an annual insecticide usage report for the State Pesticide Board.
- Assist in compiling information and preparing paperwork for yearly reinstatement of the fleet, inland, and general liability insurance.
- Encumber funds and track fuel usage, maintenance, and equipment repairs.
- Assist in preparing forms for workmen's compensation claims and auto accidents and submitting to appropriate offices. Maintain file.
- Procure all Project supplies and services following the most current operational services division guidelines.
- Record exclusion requests, breeding sites, residential requests, and route mapping. Take calls from the public for spray requests or general information. Provide service requests to field technicians by spray zone. Fax or email notifications of scheduled spray routes daily to local police and update the Project website.
- Answer, screen, and transfer phone to appropriate staff. Understand the basic operations and program of the Project to provide routine information from inquiries about services and programs offered.
Preferred qualifications:
- Current computer skills and knowledge of relevant software, especially Excel.
- Knowledge of clerical and administrative procedures and systems such as filing, record keeping, accounting, and essential office management.
- Experience with the operation of standard office equipment.
The position is part-time from October- March at 20- 24 hours and full-time at 40 hours from April- September.
