Job Description:

Preferred Qualifications:

Under the direction of the Vice President, Facilities the Premises Officer is responsible for the following:

  • Provide courteous, efficient, and professional customer service to ensure inquiries, problems and issues are resolved promptly and effectively under all conditions
  • Identify, resolve, or escalate service delivery issues and/or complaints
  • Support the Facilities team in liaising with external vendors in the processing and payment of invoices.
  • Maintain the annual fixed asset inventory list.
  • Maintain seating charts for each floor
  • Provide monthly facilities reporting to Vice President Facilities.
  • May oversee small projects and able to direct Clerk in Facilities Manager's absence to complete necessary tasks.
  • Assist with mail, copy or records general work.

Deploy, Maintain and Support Solutions

  • Maintain proficient knowledge of tools, processes, procedures, and resources necessary to assist in problem determination as well as recovery
  • Security features consist of maintaining access cards database and ensuring continue monitoring processing of our CCTV cameras.
  • Facilities databases maintenance includes car services access, seating inventory and premise access.
  • Provide to department managers scheduled reports for car services, square footage reports security card access reporting.
  • Review, process and submit all facility related Invoices using ADI database.

Manage Relationships

  • Ensure prompt and timely updates to service issues, and follow through on outstanding problems
  • Communicate effectively within the team relative to service issues and scheduled changes
  • Recommend improvements and enhancements to internal departmental processes

Teamwork

  • Work effectively as a team, supporting other members of the team in resolving critical service issues
  • Support a work environment that promotes customer service, quality, innovation and teamwork and ensure timely communication of issues/points of interest
  • Participate in knowledge transfer within the team, and business units
  • Participate fully as a member of the team and contribute to a positive work environment

Education & Experience:

  • High school diploma or GED
  • 1-2 years related experience required
  • Ability to provide consistent support prioritizing tasks based on departmental priorities
  • Basic administrative skills, including basic software applications
  • Basic English grammar and proofreading skills
  • Ability to work independently and as part of a team, providing high quality Customer service
  • Strong written and verbal communication skills
  • Ability to operate standard and specialized office equipment
