Job Description:
Reporting to the Global Security & Investigations group, the executive concierge will provide dedicated support for the executive floor which will include safety, security, and administrative functions. The Executive Concierge will be positioned at the main reception desk on TD's executive floor in Toronto, ON
Working in a team dynamic, the executive concierge will perform a wide range of duties supporting the daily operations of the executive floor as well as providing security and safety support.
The Executive concierge will frequently interact with Senior Executives, Executive Assistants, TD colleagues, visitors, third party vendors, base building personnel and external groups.
The Executive concierge will work within the boundaries and direction of TD Global Security & Investigations and the CEO's office following all applicable guidelines and procedures on a consistent basis.
Flexible work options are not available for this position as duties will require in-person attendance in the office on a daily basis.
Job Description/Accountabilities:
- Always maintaining the highest level of confidentiality and exercising discretion is a core requirement.
- Perform access control management duties including keeping track of who is accessing the floor and dealing with exceptions.
- Manage the handling and shredding of confidential paper-based documents and other information security related tasks.
- Tracking of issues and incidents including creation and submission of written reports.
- Management and tracking of equipment being signed out.
- Perform occasional protective security and safety duties at special events including attendee access management, reporting/escalating of issues and incident response support, etc.
- Perform security patrols on designated executive floors and other areas within the TD Centre.
- Performing daily opening and closing procedures for the floor.
- Coordination with building security and property management (CF) for premises related issues and updates.
- Perform incident response duties as required (i.e. evacuation support, uninvited guests, etc.)
- Provide basic first aid support and maintain first aid equipment.
- Answering phones and redirecting inquiries as required - including managing and promptly responding to all incoming inquiries for information of any nature including customer and employee related questions.
- Meet and greet all guests/clients to the floor and announce arrival to the appropriate Executive Assistant.
- Meeting room bookings including any special requirements (i.e. IT or catering requests)
- Daily floor walkthroughs to identify and remediate any maintenance requirements (both functional and aesthetic)
- Tracking of all premises/maintenance related work on the floor - including invoicing.
- Ongoing communication with vendors and internal customers regarding confirmations, changes, and cancellations.
- Ordering kitchen and floor supplies/stationary.
- Opening/sorting and delivering mail to the floor.
- The successful candidate will be required to complete supplemental safety and security training programs as outlined by Global Security & Investigations and TDBG.
- Strong Microsoft Office skills including experience developing and managing excel spreadsheets.
- Ability to manage time, prioritize tasks, and work with minimal supervision.
- Ability to multi-task and work effectively with a team and work autonomously.
- Lending administrative support to executive offices as required.
Qualifications/Skills/Experience:
- Outstanding customer service is a must.
- Must possess excellent interpersonal skills and who works well in a team setting.
- Good written and verbal communication, presentation, organization, and planning skills.
- Availability and capability to take on duties in crisis and emergency incidents, events etc.
- Demonstrated sensitivity to issues of ethics, diversity, equity, and harassment in the workplace.
- Previous experience in security/reception strongly preferred.
- 2+ years' experience performing security and/or reception/concierge type duties.
- Current CPR/First Aid/AED certification.
- Must be flexible in adjusting to changing work priorities.
- Previous experience or demonstrated skills interacting with Executives and their support staff will be essential to any successful candidate.
- Candidate must be highly organized, able to work independently, with a very strong attention to detail.
- Demonstrable proactive approach, able to work on own initiative, with a can-do attitude.
- Must be discrete and maintain confidentiality at all times.
- Must be highly dependable and reliable.
- Must be courteous, respectful and friendly.
- Must demonstrate the utmost personal integrity.
- Ability to perform under stressful, fluid or less than perfect work conditions on occasion (i.e. during periods of high paced activity and/or safety/security incident)
- Must have a baseline of physical fitness in order to execute incident response, walking patrols and special event management duties. Long periods of standing and/or walking may be required on occasion.
- Flexibility in shift times and duties may be necessary to support the overall Executive requirements.
- Occasional overtime hours may be required.
