TD Waterhouse Private Investment Advice (TDW PIA) is one of Canada's premier full-service brokerage firms for clients who want to stay involved in decisions about their portfolios. TDW PIA offers high-net-worth clients the opportunity to establish a one-on-one relationship with a dedicated and professional Investment Advisor, while maintaining active participation in decisions regarding their financial affairs. PIA Investment Advisors will conduct an in-depth review of the client's investment goals, philosophies and risk tolerance, and work with them to develop and document their personalized investment strategy.

Job Description:

The Business Operations Support Lead will provide administration support to the regional Branch Management team. The work will involve a fair degree of discretion and complexity to ensure the smooth, efficient and specialized delivery of administrative details.

Accountabilities:

  • Manage efficiently in a multi-tasked environment and ensure deadlines are met
  • Efficiently manage and promptly respond to all incoming enquiries and/or requests for information
  • Liaise with various departments for execution, where necessary.
  • Manage client files with attention to detail and accuracy
  • Schedule and organize meetings, including preparation and co-ordination by booking the facility, pre-mail, arranging required equipment, refreshments, etc., as required
  • Provide accurate, organized and efficient administrative support; collect and track data, research information, sort and distribute mail, balance and process expense reports, schedule and organize meetings, manage calendars, create and maintain files, and perform other administrative assignments as required
  • Consistently exercise discretion in managing correspondence, information and all matters of confidentiality; escalate issues where appropriate
  • Prioritize and manage own workflow to ensure quality and efficiency (ie. meet deadlines; be flexible in adjusting to changing work priorities)
  • Participate fully as a member of the team, being flexible in adjusting to changing work priorities and effectively contributing to a positive work environment
  • Be knowledgeable of PIA business and stay abreast of evolutions
  • Efficiently manage expectations/concerns through strong communication skills, both verbal and written
  • Maintain proficiency with software applications/programs and/or department specific systems as required (ie. MS Office, Word, PowerPoint, Excel, Lotus Notes, etc.)

Job Requirements:

  • Undergraduate Degree or Community College Diploma (preferred, but not mandatory)
  • 1 to 3 years relevant experience in the financial industry, preferably within Wealth Management
  • Working knowledge of Microsoft Office, including Word, Excel as well as Lotus Notes
  • Excellent knowledge and proficiency in PowerPoint
  • Exceptional organization skills
  • Able to work in a fast paced environment
  • Proactive and flexible to work in a changing environment
  • Excellent written and verbal communication skills
