Job Description:

TD Securities, Global Transaction Banking ("GTB") provides a variety of treasury management and working capital management services to the world's largest corporations. With team members around this world, GTB is a very international business.

This is a multi-disciplinary position that supports senior executives and GTB team members in fulfilling a wide variety of administrative activities, all of which are in support of winning new clients (origination), serving existing clients (client management) and managing a suite of products to meet client demands (product management). The candidate should be comfortable interacting with and briefing senior executives and is expected to possess a professional presence commensurate with that role.

This is an entry level position that provides exposure to the full breadth of an interesting and rapidly growing business, with the potential for substantial career growth.

Job Description:

The Business Administration Officer/Administrative Assistant will be guided by TD's Shared Commitments and be responsible to provide administrative support and deliver superior customer service to the direct GTB team by understanding the GTB goals and work towards assisting all teams to meet targets and objectives. Specifically, the candidate will be responsible to:

  • Provide day to day legendary support as the first point of contact for GTB staff in the NY Office; operating with a high degree of independence.
  • Facilitate and support the GTB team members with administrative tasks including equipment, premises, onboarding and access issues and coordination of team and client events.
  • Plan and organize travel arrangements for senior team members.
  • Assist with expense reporting for senior team members.
  • Support partners with both inbound and outbound requests, including directing enquiries to the appropriate individuals.
  • Effectively managing the calendars of several senior team members.
  • Manage efficiently in a multi-tasked environment and ensure deadlines are met.
  • Demonstrate professionalism and accuracy with every client and team member interaction.
  • Assess team requests to provide the best and most efficient solution.
  • Being accountable for our actions, collaborate with others and take initiative to help the team meet the business goals.
  • Work with the management team to execute projects and initiatives as required.
  • Responsible for regulatory requirements to be completed accurately in a timely manner.
  • Demonstrate proper controls to mitigate risk and practice due diligence always.
  • Challenge the norm and embrace or promote change. Look to continually evolve and transform how things are done to ensure the business optimizes processes.

Job Requirements:

  • Current or prior work experience in financial institutions (retail, commercial or corporate).
  • Strong organizational and time management skills.
  • Self-motivated and ability to work independently as well as part of the team.
  • Strong customer orientation and a professional approach with the ability to effectively interact at all levels within the organization.
  • Strong MS Office capabilities (Excel, PowerPoint, etc.).
  • Must have excellent written and oral communication skills for interacting with partners at all levels.
  • A desire to seek constant improvement, personally and professionally.
  • Passion for learning.
  • Adaptable to succeed in a fast-paced environment.
  • Ambition to grow with the business.

The Administrative Assistant - TD Securities provides highly skilled administrative support. Performs complex and technical activities. Works with individuals at all levels of the company, as well as external organizations and Customers. Handles confidential materials. Facilitates management details and serves as an intermediary to relieve executive/manager of administrative responsibilities and details.

Depth & Scope:

  • Provides top level clerical or specialized administrative support
  • Performs multiple and diverse tasks that cover a wide range of complexity
  • Proactively exercises discretion and has autonomy to make decision within generally defined parameters
  • Generally supports a large group/team (8 to 20+) and/or an SVP role or above
  • Coordinates and executes routine and non-routine administrative tasks
  • Collects, compiles, and analyzes moderately complex data and information, producing reports to be used by manager or department professionals
  • May conduct record keeping that requires a general knowledge of accounting and budgeting procedures
  • May monitor performance of budget, reviewing variances with manager
  • May provide direct assistance and support in staff activities
  • Coordinates, executes and completes a variety of special projects and administrative assignments through planning, development, organization, analysis and implementation
  • Provides administrative project support, using various software packages to produce high quality reports, presentations, and/or other documents

Education & Experience:

  • High school diploma or GED
  • 2+ years related experience required
  • Ability to provide consistent support prioritizing tasks based on departmental priorities
  • Strong administrative skills, including software applications
  • Strong English grammar and proofreading skills
  • Ability to work independently and as part of a team, providing high quality Customer service
  • Strong written and verbal communication skills
  • Ability to operate standard and specialized office equipment
  • Ability to handle sensitive or confidential information
