Job Summary

The Senior Events Specialist is a pivotal member of the Marketing organization. Responsibilities include designing, planning and executing marketing virtual and in-person events such as webinars (delivered via ON24), trade shows and customer-related events. Responsibilities include coordinating prep meetings with all stakeholders for webinars, planning required logistics for in-person events, partnering with and managing vendors; developing necessary presentation and materials support; and ensuring successful webinars and event execution. The incumbent must exhibit an exceptional commitment to accuracy, attention to detail and possess strong organizational skills. The Senior Events Specialist will partner with the Director, Event Marketing as well as Strategic Marketing managers and others across the Marketing team to plan and execute industry events as outlined in each event's strategic objectives and goals.

Responsibilities

  • Coordinates and executes end-to-end aspects of webinars, including speaker management, technical setup, registration, live event execution and post-event reporting.
  • Project manages and partners with Strategic Marketing and Content teams to ensure webinar details are ready in virtual event platform for registration launch and event promotion.
  • Organizes logistics, planning, and execution for tradeshows and hosted conferences.
  • Develops and implements event show plans.
  • Responsible for coordinating trade show assets according to events calendar, ensuring booth resources are available and coordinated for shows in advance.
  • Ensures all internal and external event calendars are up to date with details for appropriate promotions and visibility.
  • Conducts research and makes recommendations for events to include special venues, transportation, catering companies, entertainment, and other required resources to execute intended experiences.
  • Collaborates with internal and external partners/stakeholders to ensure timely and effective execution of event details.
  • Helps track all event-associated budgets to ensure spending meets event budgets.
  • Partners with Creative team to ensure new or existing templates for webinars, emails, and any other required promotional assets are up to date, developed and executed as required.
  • Ensures that all event materials and/or collateral meet brand guidelines and are received in a timely manner for successful information sharing on-site.
  • Partners with the Director, Event Marketing to plan and execute key strategic events that require cross-organizational input and alignment (HIMSS, Annual Network Alliance Forum, Sales and Account Management Kickoff and others as needed).
  • Provides recommendations on policies, processes, and procedures to solve problems or improve effectiveness of function.
  • Provides post-event evaluation and reporting in partnership with Director, Event Marketing, Marketing Operations, Digital & Interactive Marketing, and the Content team to ensure event data and trends are captured (e.g. inputs into marketing dashboard, analysis and reporting to leads program, customer meetings, and media metrics).

Qualifications

Basic Requirements:

  • Bachelors' degree or equivalent experience.
  • 5+ years of virtual/webinar event management, tradeshows, marketing, communications and/ or project management experience.
  • Knowledge and experience with virtual event platform such as ON24 webinar platform.
  • Experience with tools and technologies to effectively manage events end-to-end (e.g. Aha, HubSpot, Salesforce).
  • Has strong project management and entrepreneurial skills to work independently on moderately complex projects/assignments.
  • Sets objectives for own job area to meet the goals of projects and assignments.
  • Creative out of the box thinker who is intellectually curious.
  • Motivated, possessing vision, exceptional ability and enthusiasm.
  • Comfort with ambiguity and the ability to forge ahead on initiatives not done before recognizing there will be obstacles to overcome along the way.
  • Situational awareness and ability to be flexible and respond to challenging situations appropriately.
  • Works well in a team environment.
  • Excellent communication skills (verbal, written and presentation), and strong interpersonal skills with the ability to gain credibility and interact with team members, customer partners and senior executives.
  • Straight-forward communicator able to organize, summarize, convey ideas simply and accurately.
  • High proficiency with MS Office (Power Point, Excel, Word, Outlook).
  • Passion and interest in virtual events as well as in tradeshows, and the ability to work in a matrix organization.
  • Experience planning and executing events ranging in size and level of detail that require development of integrated communication materials.
  • Excellent organizational and planning skills with ability to work under pressure.
  • Ability & willingness to travel within the United States approximately 25% of the time for events.

Preferred Qualifications:

  • Bachelor's degree in Liberal Arts or Marketing or an Events Management Certificate (CMP or CMM).
  • Experience with a B2B healthcare company, healthcare technology or other corporate environment. Heath tech vendor or health systems exposure.
  • Experience with SalesForce.com

At Surescripts, base pay is one part of our Total Rewards Package (which may also include bonus, benefits etc.) and is determined within a range. The base pay range for this position is $90,600 - $110,800 per year. Your base pay may vary within or outside of this range depending on a number of factors, including (but not limited to) your qualifications, skills, experience, and location.
