Executive Assistant (Fixed Term Contract)
The Executive Assistant position in the Asia Pacific Executive Administration team is an exciting, challenging role supporting senior leaders. The successful candidate will be a team player, need to take initiative and actions timely, exercise independent thinking, proactively engage with stakeholders, juggle multiple large-scale projects, set priorities and meet aggressive deadlines.
Responsibilities & Tasks Include:
- Maintain up-to-date calendars for several senior executives in a dynamic environment
- Exercise discretion and judgment with respect to matters of significance and work collaboratively with others across multiple business lines and geographies
- Coordinate production and assembly of materials for meetings, preparing a variety of materials on a daily weekly or monthly basis independently and efficiently
- Effectively arrange internal and external meetings, interviews, conference calls, videoconferences, including conference room reservations and coordination of applicable technologies for virtual meetings (e.g., videoconferencing, zoom, Teams etc.)
- Arrange cost-effective domestic and international travel itineraries
- Process and reconcile expense reporting using the applicable systems
- Where delegation rights are systems-permitted and enabled, use online tools as a manager
- Support managers with new hire logistics (workspace, technology, etc.)
- Organise offsite events &/or offsite leadership team functions
- Partner closely with Executive Assistants across the organization

Qualifications/Requirements:
- Associate Degree from an accredited college or university, or equivalent work experience
- 6+ years related experience in a corporate environment
- High proficiency with Outlook, Word, Excel and PowerPoint - speed and quality of work imperative
