Title: Program Coordinator

Department: Tech Developer

Reporting To: Associate Director, Tech Developer

Compensation:  $25.50 - $29.95 per hour

FLSA: Full Time, Non-Exempt

Location: Hybrid – 2 days/week in office; some night and weekend event attendance required.

All candidates must be within commutable distance of SEO’s offices at 55 Exchange Place, New York, NY 10005, upon hire.

POSITION OVERVIEW

The Project Coordinator helps support various aspects of the SEO Tech Developer programming, data, and operational functions, primarily:

Program Coordination (50%)

  • Under the direction of the Sr. Manager of Recruitment, support student recruitment and admissions activities, including marketing, sourcing, campus recruitment event coordination, and interviewing.
  • Maintain accurate tracking of student applications; field applicant questions and troubleshoot application issues as assigned.
  • Support Program Leads in interviewing, hiring, and onboarding Teaching Assistants and Coaches.
  • Coordinate program participant onboarding activities and other processes and events throughout the program calendar.
  • Track student attendance and progress through the program year; under the direction of Program Leads, enforce student attendance and conduct policies.
  • Conduct ad-hoc and scheduled reporting; model data for presentations as assigned.
  • Process student expenses, reimbursements, and rewards.
  • Handle student off-boarding activities as year’s end.

Event Planning & Execution (25%)

  • Under the direction of Program Leads, support (virtual and onsite) event planning and execution by tracking event RSVPs, preparing security lists, creating name tags/name tents, printing program materials, and setting up marketing materials.
  • Support Program Leads with event and space planning for conferences.
  • Field attendee questions and support event follow-up as needed.

General Support (25%)

  • Coordinate the regular expense tracking and A/P processes, including reconciliation of program expenses, monthly AMEX reports, and vendor invoices.
  • Provide calendaring and scheduling support for Program Leads, prepare agendas, and take meeting notes.
  • Draft presentations, marketing materials, surveys, and program content/promotional materials, including newsletters, announcements, and sponsorship packages.
  • Conduct ad-hoc research projects and other administrative duties and projects as assigned.

QUALIFICATIONS

  • Bachelor’s degree required.
  • At least 2 years of professional experience within a program/project assistant role (internship experience applies); direct experience within higher education or a boot camp environment is desired.
  • A background in student recruitment or campus ambassadorship is a plus.
  • Technical proficiency in standard workplace applications, including MS365, GSuite, and Zoom; intermediate Excel, project management, and CRM skills (we use Monday.com, Airtable, and Salesforce) strongly preferred.
  • Superior attention to detail and initiative; must be able to manage numerous large and small-scale projects that have multiple steps and varying deadlines.
  • Excellent written and verbal communication skills and comfort communicating with a diverse group of constituencies (students, partners/sponsors, colleagues, executives, etc.) across multiple platforms, including via phone, email, chat, or public presentation.
  • A general interest in the tech space and a discernable passion for closing opportunity gaps.

  • Project Management: An affinity for strategic planning with the ability to break down issues into component pieces, build project work plans, assume accountability for timelines, lead cross-functional working teams, evaluate data for continuous improvement, and navigate ambiguity all along.
