THE ROLE

To own the administration of sales and work with the Head of Auction Sales to ensure that Wine sales are administered in accordance with company policy, reinforcing the need to provide exemplary client service.

RESPONSIBLITIES

Client Service

  • Maintain an excellent level of client service via timely and accurate client support to buyers and sellers in Sotheby’s Wine and Spirits sales
  • Advise clients on collection/delivery of wine and spirits and duty/VAT issues
  • Liaise with warehouse / shipping companies to provide timely and accurate quotes for delivery of purchases
  • Responsible for the coordination and organization of property collections from sellers
  • Responsible for the timely and accurate release of goods post sale

Logistics

  • Coordinate with warehouses (Sotheby’s or third party) and shipping companies to ensure efficient and economical delivery of property
  • Work with warehouses and shippers to execute client instructions for domestic & international deliveries and export of purchases, coordinating with local Sotheby’s offices where appropriate
  • Coordinate and organize consolidated shipments
  • Apply rotation numbers to consigned property pre-sale
  • Stock management of the warehouses (Sotheby’s and third party) ensuring that SAP records remainup to date and reflect accurate location and status of property.
  • Track and record location of all wines under Sotheby’s control in Continental Europe
  • Conduct annual stock check in collaboration with the Operations and Business Administration teams
  • Complete Purchase Order forms and obtain authorisation prior to ordering goods and services

Department Assistant

  • Provide a high level of customer service to all clients
  • Assist with sale administration when needed
  • Participate in departmental, regional and global projects as required
  • Provide support to other parts of the wine business as and when required
  • Work with the Adminstrator to compile detailed statistics for market reviews and the Press Office, such as analysis of buyers by region and by bidding method and the top ten
  • Operate at all times in accordance with the company’s rules on compliance and corporate governance

IDEAL EXPERIENCE & COMPETENCIES

  • Bachelor’s Degree
  • Fluent in English and French
  • Previous administrative or wine industry experience preferred
  • Knowledge and Interest in wine preferred 
  • Good communication and client service skills
  • Excellent organizational skills including ability to multi-task and prioritize
  • High level of attention to detail
  • Good working knowledge of Microsoft Office particularly Word, Excel, Outlook
