The role...

This position is responsible  for  the  successful  administration of  private  events  and  the  assistance with the food and beverage department. Responsible for  the  continual  supervision  of service throughout the entire event and to perform specific tasks as requested by the Private Events Manager in their absence.  Assists the Private Events Manager/House Relations Manager to  maintain  event  business by  way  of providing  courteous  and  effective  selling  techniques. To keep employees advised  and  updated  of particulars pertaining to all events. Responsible for the continuous supervision of service leading up to, during and following each event.  Performs specific tasks as requested by the Private Events Manager Manager while on and off site.

 Main duties:

  • Assisting the events team with a high number of events, ranging from small meetings to award ceremonies
  • Accompanying private events manager to both internal and external events
  • Promoting events across all social media platforms and company website
  • Supporting the private events manager with logistical and administrative support
  • Maintaining records of all bookings e.g. venue and catering and taking payments where necessary
  • Assisting with creative decisions
  • Attending all BEO meetings to act as a second point of contact
  • Ad-hoc duties at events including, but not limited to, guest list management, showing guests to tables and taking coats
  • Helping set up and dismantle events efficiently through to completion
  • Ensuring all branded items for events arrive on time
  • Carry out all day-to-day food & beverage and event operations within company standards, ensuring a quality service throughout the food & beverage events customer journey

Requirements

  • Experience working within a front of house operation within a busy hospitality environment
  • Good knowledge and interest in food and drink
  • Previous F&B and hospitality events operations management required
  • Proven project management skills
  • Strong commercial acumen
  • Confident with all Microsoft Office packages

Only those Private Events Coordinators who are eligible to work in Italy or have a valid Italian work permit/visa will be considered for the above position.
