The role...

The Purchasing Manager is responsible for supervising the purchasing, receiving, inventory tracking, and storage of inventories.

Key Accountabilities...

  • To maintain supplier relationships
  • To be responsible for receiving team members (if applicable) in all aspects from recruiting, training, preparing schedules, reviewing and dealing with any performance issues
  • To participate in any regular operations meetings
  • To conduct regular audits to ensure existing deals are being exercised; costs and budgets are being upheld
  • To inform General Manager, Head of Operations and where applicable CFO, MD and Group Purchasing on current deals being exercised, future plans and potential brand opportunities.
  • To be responsible for weekly counting and reporting due every Monday and Tuesday.
  • To maintain count of beverages and oversee stores/cellar
  • To input stock count into Adaco, process weekly transactions and coordinate with Finance
  • To produce final COS for entire house, including MiniBar, Events, Club
  • To be responsible for daily ordering and purchasing
  • To order stock ensuring you are always checking against stock par levels
  • To process any orders upon approval from General Manager
  • To maintain Adaco
  • To conduct inventory maintenance 2-4 times a week.
  • To check stock counts in all stock rooms against posted counts and against pars.
  • To reorganise all rooms as necessary, reposting amounts, replacing count sheets, re-boxing, removing, and reporting.
  • To check on bar maintenance/beverage availability behind bars/meet with Bar Manager weekly for issues of 86, etc.
  • To check on floor pars for all CGS, report any trouble with stock needed vs. budget to GM, Club Manager, and Inventory Controller.
  • To create an ongoing inventory of obsolete items, intended depletion of items prior to brand changes, etc
  • To update stock sheet for entire House: on floor/in storage/on order/over-behind par
  • To support with the maintenance of equipment (beer lines, espresso machines, etc)
  • To purchase all supplies for food and beverage department, including paper, pens, office supplies, to go boxes, bar supplies, etc.
  • To maintain proper inventory levels for all F&B supplies
  • To process invoices and manage deliveries
  • To support with any Health & Safety assessments ensuring we meet the required standards
  • To control CGS and maintaining proper inventory pars
  • To perform other reasonable duties as required
