The Role…

As the Personal Assistant to the Chief Technology Officer, you will be responsible for providing professional pro-active and confidential support on a day-to-day basis.

You will be liaising with internal and external stakeholders and will be an integral part of our executive leaderships support team. The ideal candidate will have extensive experience in providing administrative support and coordination at an executive level. You will be able to act autonomously and use your initiative to prioritise workload with ever changing needs.

In this role, efficient organisational skills are a must, you will be managing high level diaries, preparing for company meetings, inbox management, travel arrangements and more. The Personal Assistant will possess excellent communication skills and interpersonal skills being able to work with a range of stakeholders and the rest of the C-suite.

Main Duties…

  • Meeting co-ordination – maintain & manage the executive schedules. Arrange meetings both internally & externally on a local & global level across time zones, including conference calls & Zoom calls etc. Planning, research & preparation of documents in advance for meetings.
  • Communications - able to write and edit emails, work autonomously monitoring inbox & respond to emails on behalf of CTO with appropriate tone.
  • Events – organising & taking responsibility for regular leadership meetings/offsites, department Townhalls and socials.
  • Projects – supporting the CTO with a number of key projects, understanding the status of projects, change in urgency or roadmaps and liaising with those working on these.
  • Travel – organise all international and local travel arrangements, including visa requirements, and any passport or other applications where needed.
  • Management of Stakeholders - building positive relationships with key internal stakeholders both locally & globally.
  • Recruitment & Onboarding - liaising with department leads on their new joiners, making sure any team members are welcomed into the department.
  • Executive admin – processing expenses, managing folder organisation.
  • Personal and private diary management and ad hoc personal errands and duties.

 

What We Are Looking For…

  • A minimum of 3+ years’ experience of being a PA – organising meetings, managing inboxes and coordinating schedules & international travel
  • Relentless attention to detail
  • Experience of working with C-suite 
  • Digitally savvy with a keen interest in technology.
  • Proficient in Microsoft Office – particularly Excel, Word and PowerPoint
  • A track record of organising events with a budget
  • Incredibly organised
  • Strong written and verbal communication
  • Confidentiality – used to dealing with highly confidential matters and high-profile individuals
