The Role...

At Soho House, the Member Events & Content Coordinator is responsible for assisting the Member Events Programming Manager with the administrative duties that support the execution of cultural and community driven membership events, and capturing content at events. As the Member Events & Content Coordinator you will support by ensuring proper preparation is handled and coordinated leading up to an event through its completion. Such tasks include venue diary management, gathering promotional materials, booking tech support and other freelancers, reviewing menus, managing invoices as well as vendor communication and evaluating member feedback to support future events. You will also capture content of events in order to be shared via the company’s various content platforms.

A successful Member Events & Content Coordinator is well-organized, detail-oriented, passionate about events and creating community through shared experiences. You will also be a strong communicator, in-the-know of leading trends/music/talent and possess a sound knowledge of vendor management. You will have a flair for digital content capture and be able to capture and edit content with a fast turnaround.

 

Main Duties...

  • Support the coordination for all event communication (internal/external) and event materials; including calendar management, booking event partners/suppliers/hosts, creating event function sheets for the Soho House West London Region (4 sites)
  • Administrative duties, including but not limited to internal meeting management, coordinating freelance staff, managing invoices, raising POs, booking travel, collating printed event collateral, managing the events inbox.
  • Collecting and sharing event advancing information from event partners ahead of events - photos, event set up information, bios and so on to create events listings.
  • Responsible for uploading all member event listings to digital platforms for exposure and managing any incoming enquiries and attendee confirmation.
  • Attend and oversee the FOH set up and execution of all events – greeting event partners, checking in members and acquiring member feedback following events.
  • Works with all departments across the sites to ensure they are aware of the event calendar and their required roles/involvement within each event.
  • Organise, store and update event contracts, receipts and partner contact information.
  • Capturing content such as short videos and photographs at events.
  • Assist the membership team by working ‘on the floor’ and gathering member feedback.
  • Performs other duties as assigned by manager.

 

What We Are Looking For...

  • At least 2+ years of professional experience in a similar capacity. 
  • Hospitality or live events experience is a plus, not a must.
  • Experienced with Outlook & Excel as well as Adaco, Opera and Triple Seat (or equivalent events booking software).
  • Creatively driven and culturally in-tune to develop / foster a network and knowledge to execute large scale events.
  • Collaborative and communicates well to provide direction / delegation to efficiently accomplish task(s) at hand.
  • Research skills as well as exceptional organisational abilities and extraordinary relationship building skills.
  • Ability to multitask and execute under pressure and in demanding fast-paced environments.
  • Energetic, flexible, collaborative, proactive; a team leader who can positively and productively execute administrative initiatives.
  • Critical thinker and the ability to exercise good judgement and solve problems quickly and effectively.
  • An essential part of the job is being available on a flexible schedule and being willing to work outside “office hours”. For example, nights, weekends and holidays (as needed and when applicable). This may or may not be required on a regular basis but is mandatory when needed.
