Smartsheet is looking for a Senior Executive Assistant to support our General Counsel and members of the Finance leadership team. The ideal candidate will be proactive, flexible, resourceful and efficient while maintaining the highest level of confidentiality, integrity, and professionalism. You will serve as a strategic partner to the GC and leaders in the Finance organization.

You will report to our GC located in Boston, MA. However, this is a hybrid role - working from our Bellevue, WA office.

You Will:

  • Be a vital strategic partner to the GC and assigned members of the Financial Leadership Team, proactively anticipating needs and providing impactful organizational support that drives success
  • Manage dynamic calendars for leadership, orchestrating internal and external meetings
  • Expertly handle meeting logistics, craft compelling materials, capture key insights, and ensure action items are followed through for leadership
  • Assists with managing operational budgets, working with the FP&A partners to ensure planning and tracking run efficiently
  • Support the GC in preparing for board meetings and maintaining communication with PE firm representatives
  • Exercise your judgment to make independent decisions within guidelines, flawlessly planning and scheduling events for leadership
  • Collaborate closely with the Legal and Finance teams to coordinate and streamline communication, including handling, logging and distributing sensitive mailings and certified documents
  • Craft polished correspondence for review and distribution, amplifying the voice of leadership
  • Relieve the GC and Finance leadership team from administrative burdens, such as tracking deadlines and managing expense reports, allowing them to focus on strategic initiatives
  • Act as a key liaison, seamlessly coordinating activities between departments on behalf of leadership.
  • Organize complex travel arrangements and itineraries, including international travel, ensuring a smooth experience for leadership
  • Cultivate strong relationships and build trust with key internal and external stakeholders, representing leadership with professionalism and integrity
  • Navigate competing priorities with finesse, keeping leadership informed and prepared
  • Conduct thorough research and prioritize requests, adapting to changing needs and delivering exceptional results
  • Forge a strong partnership with the lead Executive Assistants for both the company and CFO organization on operational systems, maintaining confidentiality and supporting shifting priorities in a collaborative environment

You Have:

  • BS/BA degree preferred, or equivalent experience
  • 8+ years of relevant experience as an Executive Assistant or similar role, with at least 5+ years at the C-suite level
  • A notary license
  • Experience with Smartsheet, G Suite, and Microsoft Office applications
  • Exceptional organization and communication skills, with attention to detail and follow through
  • A creative approach to work with a willingness to innovate and continuously improve
  • Ability to manage highly sensitive or confidential situations and information with professionalism
  • Desire to work independently, manage shifting priorities, demonstrate good personal judgment, and effectively handle tasks under pressure

Smartsheet provides a competitive base salary range for roles that may be hired in different geographic areas we are licensed to operate our business from. Actual compensation is determined by several factors including, but not limited to, level of professional, educational experience, skills, and specific candidate location. In addition, this role will be eligible for a market competitive incentive opportunity.

US Base Salary Pay Range
$92,500$126,250 USD
