What the role is

The Administrative Assistant works in collaboration with the Operations at Location Level team, is responsible for supporting the operational and administrative management of the hostel, ensuring the correct handling of financial administrative processes.

Main responsibilities:

1. Support in accounting management: Preparation of purchase orders.

2. Management of suppliers and purchases: Supervision of purchase orders, communication with suppliers, control of inventories and supplies.

3. Coordination of administrative processes: Management of documentation, filing and general correspondence.

4. Attention and support to internal customers: Communication and coordination with different areas of the hostel (reception, F&B, Experience, maintenance, Housekeeping) to ensure that administrative needs are covered.

5. Cash control: Ensure the correct registration of purchases by petty cash.

6. Payroll: Verification of entry and exit sheets according to the schedule assigned by management. Report new developments to be taken into account in the payroll.

7. Inventories: keep track of and review the inventories of the hostel areas to understand the purchasing needs, the losses and the status of the supplies.

Requirements:

- Technical or professional training in Administration, Accounting, Finance or related careers.

- Previous experience in similar positions, preferably in the hotel or tourism sector.

- Intermediate handling of office tools, especially Excel.

- Knowledge of inventory and purchasing management.

- Organizational skills and attention to detail.

- Ability to work in a team.

- Adaptable: comfortable with last minute changes

- Adaptability and flexibility in a dynamic and multicultural environment.
