JOB SUMMARY:
The IT Asset Management Specialist (ServiceNow) will be responsible for the administration and management of the organization's IT assets, ensuring effective lifecycle management from acquisition to disposal. This role requires strong expertise in using ServiceNow IT Asset Management (ITAM) to manage hardware, software, and license inventory, as well as ensuring compliance with asset related policies and standards. The specialist will work closely with IT, procurement, finance, and other departments to optimize asset utilization, reduce costs, and maintain accurate records. THIS IS A FULL-TIME, 3 MONTH, TEMP POSITION WITH A POSSIBILITY OF CONVERSION TO REGULAR EMPLOYEE STATUS.

• Perform continuous monitoring and maintenance for ongoing success of automated process solutions.
• Set up dashboards that track process automation performance. Familiarity with solution performance and to recommend or implement optimizations as needed.
• Develop/create comprehensive documentation that covers every aspect of automation, including design, code, and testing procedures.
IT Asset Lifecycle Management
• Oversee the end-to-end lifecycle of IT assets, including procurement, deployment, tracking, maintenance, and decommissioning.
• Leverage ServiceNow ITAM to maintain a comprehensive and accurate IT asset inventory, ensuring that all hardware and software assets are properly tracked and recorded.
• Develop and document processes for onboarding, offboarding, and updating assets within ServiceNow, ensuring alignment with organizational policies.
ServiceNow IT Asset Management (ITAM) Administration
• Serve as the primary administrator for the ServiceNow IT Asset Management platform, ensuring proper configuration, operation, and optimization.
• Customize and configure ServiceNow workflows, reports, and dashboards for tracking asset status, usage, and compliance.
• Monitor asset data quality in ServiceNow by conducting regular audits, ensuring accuracy and alignment with current asset inventory.
Software License & Compliance Management
• Track and manage software licenses using ServiceNow SAM (Software Asset Management), ensuring compliance with vendor agreements and industry standards.
• Assist in software audits by providing accurate and up to date records of software licenses, usage, and entitlements.
• Monitor and manage software renewals, license expirations, and ensure proper license distribution across the organization.
Vendor & Supplier Coordination
• Work with procurement teams and external vendors to ensure timely acquisition of IT assets and services based on organizational needs.
• Ensure that all hardware and software purchases are correctly logged and tracked within the ServiceNow platform.
• Manage relationships with vendors to ensure warranties, SLAs, and service agreements are adhered to.
Cost Control & Optimization
• Track and report on the costs of IT assets throughout their lifecycle, identifying opportunities for cost reduction and optimization.
• Analyze asset usage patterns and recommend strategies for reducing excess or underutilized assets, including reclaiming unused software licenses.
• Collaborate with finance to provide data on asset depreciation, total cost of ownership (TCO), and return on investment (ROI) to support budgeting and financial planning.
IT Asset Audits & Compliance
• Conduct regular audits of the IT asset inventory to verify accuracy and compliance with internal policies and external regulations.
• Ensure proper asset tagging, tracking, and reporting procedures are followed throughout the organization.
• Collaborate with IT Security and Compliance teams to ensure adherence to data privacy, security, and disposal requirements.
Reporting & Analytics
• Generate and maintain detailed reports and dashboards using ServiceNow to provide stakeholders with visibility into the IT asset portfolio.
• Report on asset performance metrics such as asset utilization, lifecycle status, and software license compliance.
• Provide insights and recommendations for improving IT asset management processes based on data analytics and trends.
Continuous Improvement
• Continuously evaluate and improve IT asset management processes and policies to enhance efficiency and accuracy.
• Stay informed of updates and new features in ServiceNow ITAM, applying best practices and emerging technologies to improve asset management practices.
• Provide training and support to colleagues in the use of the ServiceNow ITAM platform to ensure accurate data input and adherence to asset management processes.
MINIMUM QUALIFICATIONS AT ENTRY:
Additional qualifications may be specified and receive preference, depending upon the nature of the position.
EDUCATION/EXPERIENCE:
• Bachelor's degree in Information Technology, Business Administration, or a related field (or equivalent experience), plus 3 to 5 years of experience in IT Asset Management or related IT operations roles.
• Extensive hands-on experience with ServiceNow IT Asset Management (ITAM) and ServiceNow Software Asset Management (SAM) modules.
• Proven experience managing hardware, software, and licensing assets in a mid to large scale organization.
• Proficiency in ServiceNow ITAM platform and associated workflows, asset discovery, and reporting features.
• Strong understanding of software licensing models (e.g., SaaS, perpetual, subscription) and compliance best practices.
• Ability to create and manage custom reports, dashboards, and asset tracking tools within ServiceNow.
• Certifications (Preferred but Not Required): ServiceNow Certified Implementation Specialist - IT Asset Management, Certified IT Asset Manager (CITAM) or equivalent certification, ITIL Foundation Certification.
