I. Travel Coordination

1. Assist in the travel bookings of employees and customers

2. Assists in the arrangements of visas, letters of invitation, etc.

3. Assists in the reservation of domestic and international hotels either through the global travel agency or hotels directory

4. Monitors influx of visitors

5. Prepares, monitors and maintain database of invoices in relation to travel to ensure timely payments.

II. General Administration

1. Acts as deputy for the Executive Assistant and Administrative Officer during their absence and on holidays

2. Responsible for meeting room calendar reservations and gate pass management in a timely manner.

3. Assists in preparation the expense reports.

4. Assists in organizing events, logistical requirements and costing

5. Regular filing of documents and updating of contacts database.

6. Assisting NPP by posting PO using SAP application.

Qualifications

Confident, personable candidate able to take initiative and drive tasks to completion

Well organized, flexible, self-motivated and have the sense of urgency

Above average communication skills (written and verbal)

Complete discretion and confidentiality to the highest level

Team player

PC Software Literacy (MS Word, Excel, Powerpoint, Lotus Notes)

Basic Finance Literacy

Cross-cultural

Ability to Analyze Issues

Communicate Effectively
