What will you do?
The Site Coordinator plays a key role at Schneider Electric.This hybrid role operates as the first point of contact for visitors and customers, assisting with the management of site/facility related items and providing executive assistant support to Senior leadership. This position works with a high degree of independence and has an important role in building the Schneider Electric culture at the local level.
- Provide executive assistant support to the Sales Director and other Senior leaders as required.
- Establish and maintain credible and effective working relationships with key stakeholders including internal and external contacts, executives, and management team members.
- Manage calendars, travel requirements, expense management, and preparing reports as needed.
- Serve as local point of contact for all security topics. Validate that the Site Security program conforms to Corporate and Regional policies, standards and directives.
- Act as first point of contact for all visitors to the building, ensuring all visitor processes are followed and all guests are welcomed to the site. Screen visitors and employees.
- Operate reception phone system to answer incoming calls, provide information or redirect the caller where appropriate.
- Receive, record and distribute documents, mail and courier items. Apply appropriate postage to outgoing mail.
- Manage the security card access system.
- Communicate with building management for maintenance requirements as needed.
- Support resolution of facility related safety concerns, complete facility related purchases, submit facility related invoices for payment and responding to employee inquiries and issues related to the facility.
- Support Site Leader and HR with local engagement programs including bilingual communications and logistics (Sustainability, Social Committee, H&S Committee).
- Support site training and development including new employee onboarding facilitation.
- Participate/lead site level projects as requested.

- Technical Diploma or Certificate in Office Administration, Business or related discipline
- 3+ years of experience in an administrative role, ideally as Executive Assistant
- Ability to perform in a multi-task environment with potentially conflicting priorities
- Proven skills in Microsoft Office suite, Teams
- Results oriented, with ability to work well independently and with a team
- Ability to build strong relationships
- Self-motivation for learning
- Strong customer service skills
- Functional knowledge of English and French is required. Must be able to work with stakeholders located in Quebec, other Canadian provinces and internationally.
