Main responsibilities:

  • Oversee facilities management to ensure effective building services are in place at the Hub.

  • Maintain high standards for the physical environment, ensuring it supports a positive workplace experience.

  • Ensure a best-in-class end-to-end workplace experience for all employees and external guests, fostering a positive and engaging environment.

  • Manage operations including mailroom, janitorial services, food & beverage, copy/print business supply hub, storage, and other amenities.

  • Oversee in-office food services, ensuring a healthy variety in a cost-effective manner.

  • Manage operational expenses for assigned cost centers, ensuring efficient use of budget, tracking, and reporting expenses. Provide monthly and quarterly reports.

  • Oversee workplace service contracts, conducting regular reviews of supplier relationships to identify and leverage improvement opportunities.

  • Partner with Real Estate, Facilities, Security, and Health & Safety teams to ensure compliance and best practices within the workplace.

  • Collaborate with the People Team, DEI, and other cross-functional teams to develop and implement local, regional, and global programs, initiatives, and events to promote company objectives and enhance employee engagement.

  • Deploy space management principles, ensuring the physical workplace layout, workflow, storage, and aesthetics align with intended purposes, promoting efficiency and productivity.

  • Support the development of Workplace Services programs, projects, and initiatives to align services globally.

  • Lead and coach the Workplace Experience team and third-party vendors to ensure high levels of customer service and workplace standards.

  • Manage ad hoc projects related to Workplace Services, operations, and development.

  • Develop processes and procedures incorporating Change Management principles for successful implementation.

  • Build systems ensuring seamless operational excellence through scalable work process efficiencies and technology platforms.

  • Foster strong working relationships and effective communication with stakeholders.

  • Ensure safety standards are met by holding a leadership role on the Safety Committee in partnership with the Global Environmental Health & Safety Program Manager.

  • Manage communication regarding HSE, Security, and Workplace Experience matters.

  • Implement plans based on data analysis and colleague feedback to improve service levels, compliance, productivity, and mitigate business risks.

  • Adapt and implement Workplace Experience policies for the Hub in line with the country strategy.

  • Ensure the implementation of digital tools for site functionality, such as access control, occupant sensors, etc.

  • Ensure compliance with local regulations and company requirements, maintaining a safe and healthy work environment through robust management systems and processes, including risk assessment, accident reporting, investigation, training, medical services, and emergency preparedness.

  • Work with internal and external stakeholders to reduce the environmental footprint of the offices, raise employee awareness on sustainability topics, and contribute to BCorp certification.

  • Build purchasing requests. Manage and approve vendor purchase orders, invoices and cost tracking utilizing industry best practices.

Health, Safety and Environment

  • Provide and maintain systems of work, along with working environments that are safe and without risks to health, together with promoting wellness.

  • Provide the information, instruction, training and supervision necessary to ensure the health and safety of Residents.

  • Consult with Residents about OHS matters so that they can contribute to decisions affecting their health, safety and wellbeing.

  • Ensure the health and safety of people visiting or working who are not employees by not exposing them to risk.

  • Comply with corporate and legal health & safety and environmental requirements.

About you

Experience: At least 8+years of experience in managing office facilities for

multi-national corporations Hospitality, or workplace industry (Real Estate services, Facilities Management)

Qualifications:

A bachelor's degree or equivalent experience in a relevant field Engineering, Management/Business Administration, or similar)

Hard skills:

  • Good HSE knowledge

  • Project Management skills


Soft skills:

  • Certification in Facility Management or Environmental Management

  • Hospitality Mindset & Service Oriented

  • Experience in managing and working within a multi-cultural team.

  • Stakeholder Management Experience

  • Experience in office restacking projects.

  • Good Communication Skills

  • Ability to think strategically and at the same time ensure a hands-on approach.

  • Change Agent - Ability to shape culture and to motivate a large group of people to work towards a common goal.

  • Experience or certification in WELL V.2

Languages: English fluent
