Global Business Services (GBS) was established as a new transversal, multi-disciplinary function supporting and accelerating Sanofi's transformation towards establishing a sustainable standalone Consumer Healthcare business through the implementation of a set of operational legal presence across in-scope markets. Consumer Healthcare (CHC) Global Business Services (GBS) drives transformation projects to ensure it delivers best in class processes in terms of quality, cost, performance, customer satisfaction and needs, supported by high quality master data and performance KPIs.

For PEOPLE SERVICES, GBS will be covering the following areas of the process:
  • Organization & Employee Master Data: data accuracy and data completeness
  • Employee Life Cycle Management: from hiring to retiring, including contract and job changes
  • Employee queries: global and local articles, ticketing
  • External Workforce: data management, onboarding and offboarding
  • Transversal: reporting, compliance, continuous improvement
  • Time to Pay (T2P): benefits, payroll data, calculation, post payroll and support activities

GBS People Services Head of Asia & Middle East is seeking an experienced People Services Payroll Project Manager to lead the successful implementation of a new payroll vendor in Japan. The ideal candidate will be responsible for managing all aspects of the project, including planning, execution, and post-implementation support. This role requires a deep understanding of payroll processes, project management best practices, and experience with vendor management.

Main responsibilities:

The purpose of this role is to:

Project Management

Lead local projects specifically Japan related projects. This is not limited to new vendor, contract segregation from bio-pharma, new payroll system implementation, new time & attendance implementation, new social insurance vendor implementation or PPLS scope extension...
  • Define and implement the project governance with stakeholders and vendors when relevant
  • Prepare the Business case, identify risks and mitigation plan
  • Lead implementation, coordinate change management
  • Manage Budget, POs and Invoices if required
  • Develop a detailed project plan to track progress, identify risks, and ensure timely completion of deliverables.
  • Manage the project lifecycle, including planning, execution, monitoring, and closing phases.
  • Coordinate internal resources and third parties/vendors for the flawless execution of the project.

Vendor Management
  • Serve as the primary point of contact between the company and the new vendor during the project
  • Oversee the vendor selection process, contract negotiation, and service level agreements (SLAs).
  • Ensure vendor compliance with all company policies, regulations, and timelines.

Stakeholder Communication
  • Act as the liaison between HR, finance, IT, and other departments to ensure alignment on project goals and timelines.
  • Provide regular updates to stakeholders on project status, risks, and any issues requiring escalation.
  • Conduct stakeholder meetings, status reviews, and presentations as needed.
  • Lead Change Management/communication activities

Drive Continuous Improvement
  • Centralize ideas, calculate savings, monitor implementation, provide KPIs
  • Coordinate transversal initiatives (e.g. Standardization, Simplification)
  • Perform on regular basis External and Internal Benchmark to ensure the best practices and operational excellence
  • Work with cross-functional teams to ensure the new payroll system meets all business requirements

Compliance and Risk Management
  • Ensure the new payroll system complies with all federal, state, and local regulations.
  • Identify and mitigate risks associated with the implementation process.
  • Conduct regular audits and reviews to ensure the system is functioning as expected.

Training and documentation
  • Develop comprehensive training programs for payroll staff and other relevant stakeholders.
  • Ensure proper documentation of all processes, procedures, and system configurations.
  • Provide post-implementation support and troubleshooting as required

About you

Required Skills

•Experience in payroll migration is highly preferred. Strong project coordination skills, stakeholder management, with emphasis on managing project deliverables.

Languages:

The ideal candidate for this position must be fluent in both English and Japanese, as they will be required to communicate effectively in a business setting in Japan and with regional stakeholders and participate in global business interactions. Additionally, this role will need excellent ability to communicate orally and in writing in both Japanese and English. Ability to draft legal documents in both Japanese and English strongly preferred.

He / She works closely with P&C, Legal, Finance, Digital and Facilities management at regional and country levels and People Services teams in countries and KL Hub.
