The Executive Administrative Assistant provides high level administrative support to company executive with multi-country responsibility in a fast-paced change-focused organization.Is the face of the division with internal and external constituents and proactively ensures that the team runs efficiently and effectively through excellent time management, communication and attention to detail.Works collaboratively with business unit administrative team to manage workloads through high and moderate volume times and manage vacancies as needed.

Main responsibilities:
- Types reports, memos, letters and other documents using word relevant computer software; create or refine PowerPoint presentations based on provided draft.
- Lead business unit team of admins to ensure appropriate back up support is in place, common area is maintained, and the team is supporting one another in surge times for good of the whole.
- Proactively manages MS Outlook calendars Region Head, managing regular team and individual meetings, adjusting when needed in advance, ensuring materials are ready ahead of time.
- Performs general office duties such as ordering supplies, maintaining product room, assigning lockers, answering phone calls/taking messages and filing/scanning corporate documents, keeping business unit distribution lists updated.
- Maintains the North America Leadership Team (NALT) shared space, ensuring meeting minutes/action items and presentations are up to date and organized.Add/delete members as appropriate.
- Lead logistics for major business unit events including Town Halls, in person Forums, offsite leadership meetings.
- Coordinate meetings to include securing conference space, needed supplies and agendas.
- Coordinate meetings and business travel per Policy for Consumer Healthcare (CHC) Head, assemble and file expense report, review expense reports as delegate, balance Amex statement with expense reports.Maintain central travel budget.
- Assist in on-boarding of new employees including work equipment, system set up, etc.
- Distribution of information; maintenance of electronic and required paper files.
About you
- Experience: 6+ years of administrative experience, preferably supporting a global executive. Proficient in Microsoft Office Software (Outlook, Excel, Power point, Word) and expense reporting.
- Soft and technical skills: Strong interpersonal/teamwork skills; ability to maintain confidentiality. Good verbal and written communication skills; strong grammar and punctuation skills. Strong organizational, time management and problem-solving skills; ability to self-initiate/work autonomously when needed. Comfortable with on-going change in ways of working, personnel and cross-cultural dynamics. Ability to work overtime when necessary to meet deadlines.
- Education: High school diploma required; college degree preferred.
