What Your Job Will Be Like:
Do you want to join a dynamic team that solves significant cybersecurity issues for our nation?
We are seeking an Office Management Assistant to help run day-to-day operations and support the managers and staff of the Cyber Systems R&D, the Senior Manager of Civilian Cyber Solutions, and generally support staff working in a SCIF (Special Compartmentalized Information Facility). Sandia Office Management Assistants represent their departments and uphold a professional demeanor in a dynamic and diverse work environment. You will have the opportunity to work both independently and collaboratively, demonstrating initiative and managing multiple tasks at once while adapting to changing priorities.
On any given day, you may be called on to:
- Support managers and groups that work both in-person and remotely
- Manage multiple calendars, answer phone calls, arrange travel, submit expense reports, and schedule meetings with an emphasis on teleconferencing and videoconferencing
- Order office supplies, assist with property and training coordination, and serve as the information source on organizational policies and procedures
- Ensure timely submission of timecards
- Maintain office filing system and databases
- Serve as the organization's property coordinator
- Maintain department training records
- Arrange tours and coordinate accommodations for visitors from federal agencies, visiting managers, and other senior leadership
- Coordinate candidate interview schedules and new hire onboarding
- Partner with other administrative support staff in the Division, Labs-wide (in California and New Mexico), and with external customers to cultivate a collaborative environment
Due to the nature of the work, the selected applicant must be able to work onsite at least 50% of the time.
Salary Range:
$64,800 - $103,800
*Salary range is estimated, and actual salary will be determined after consideration of the selected candidate's experience and qualifications, and application of any approved geographic salary differential.
Qualifications We Require:
- High school diploma plus three or more years of directly related experience; or equivalent combination of education and experience
- Experience with Microsoft applications (such as Outlook, Word, Excel, PowerPoint)
- Experience with one or more of the following:
- Timecards
- Booking travel
- Expense reports
- Procurement or purchasing
- Ability to obtain and maintain a DOE Q-level and SCI-level security clearance, which may require a polygraph test
Qualifications We Desire:
- Experience supporting remote staff and/or managers
- Experience handling confidential/sensitive information
- Experience in effective teaming or collaboration
- Working knowledge of Sandia's business practices, business software (timecards, procurement, expense reports, SharePoint, etc.), and administrative policies and procedures
- Experience coordinating meetings, travel, clearances, and other logistics within Sandia and with external agencies
- Current DOE Q-level security clearance or DOD TS equivalent
- Current DOE SCI-level security clearance or DOD SCI equivalent
About Our Team:
Sandia is a world-class leader in cybersecurity. Today, cybersecurity is a daunting national security problem, and we're applying decades of expertise to the task. The Civilian Cyber Solutions group (8760) currently focuses on three major areas of research and development: malware characterization and software understanding; cyber research for emerging technologies/AI, and secure cloud computing. With a history of applying research to solve real world homeland security problems, we develop techniques and technologies for preventing disruption and enhancing recovery in vital high-consequence cyber and critical infrastructure systems. In addition, we are actively engaged in cyber internship programs that prepare students to enter the FFRDC workforce and provide a recruiting pipeline for the Sandia cyber mission area.

Security Clearance:
Sandia is required by DOE to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications.
