Position Summary:

The Specialist, Production Cast Administration is responsible for facilitating performer documentation and readiness to support entertainment production operations, both shoreside and shipboard, for the Royal Caribbean International fleet. This role coordinates administrative, logistical, and operational tasks to support successful, on-time shoreside training and shipboard arrival for approximately 1,800 cast members annually. In addition, this role provides day-to-day operational support at Royal Caribbean Group's shoreside entertainment rehearsal facility. Additional responsibilities include production administration, shoreside rehearsal procedures, operational communications, troubleshooting and problem-resolution. Operates in a multicultural team environment and is expected to work in a collaborative way with leadership and colleagues, as well as independently, as required.

Essential Duties and Responsibilities:

  • Responsible for verification and review of properly completed Medical Certificate for Service at Sea required for all performers, to include tracking and record-keeping, as required
  • Works closely with crew medical personnel to investigate and problem solve concerns pertaining to cast medical certification
  • Manages new-hire and returning performer paperwork required by Human Resources to include passport, background check, new-hire packet, medical certificate, W4 forms, etc.
  • Responsible for collection of supporting documentation and policy information, internally and externally, to facilitate performer hiring process
  • Reviews and approves new-hire profiles in Studio Management System (SMS) in preparation for E1 ID creation purposes.
  • Supports vaccination record review to ensure alignment with current company requirements
  • Responsible for shipboard performer berthing assignments and communication with respective shipboard personnel
  • Communicates with appropriate shoreside and shipboard support departments to successfully relay critical information required for seamless sign-on process
  • Supports Seaman's Book process; serves as direct liaison between cast member(s) and internal Seaman's Book Processing team
  • Manages extra crew cabin submission process to support shipboard cast installations
  • Coordinates and facilitates performer orientations and/or exit meetings (presents training content, responds to questions, manages content updates and revisions, etc.)
  • Supports coordination of cast flights, hotel accommodations, and transportation from shoreside training facility to airport and assigned vessel
  • Maintains direct communication with performers before, during and after shoreside rehearsal process to support with questions, concerns, information-sharing, etc.
  • Supports management with incident response and special operational circumstances.
  • Provides special project assistance and coordination as assigned by Royal Caribbean Productions management
  • Participates in team meetings, cast meetings/orientations, special events, etc., as required
  • May require occasional after hours and weekend support, due to nature of shoreside rehearsal operations, shipboard operations, and various geographic ship locations
  • General administrative support and assistance for office operations, as needed

Qualifications and Education:

  • Bachelor's degree preferred from an accredited college or university in Business Administration, Communications, Theater, or related field.
  • Experience in the entertainment industry and cruise industry shipboard and/or shoreside preferred.
  • Expertise in interpersonal communication skills, both written and verbal communication in a multicultural environment with all levels of employees and management.
  • Excellent logical and critical thinking skills, coupled with a strong ability to research and analyze, and make impactful decisions.
  • Attention to detail and organizational skills required.
  • Demonstrate a strong work ethic, receptiveness to guidance, with an ability to creatively tackle challenges under ambiguous circumstances; high level of emotional intelligence; innovative thinker with a growth mindset.

Knowledge and Skills:

  • Understanding of computer systems to include Microsoft Word, Excel, Lotus Notes, Outlook, Access, PowerPoint, Smartsheet.
  • Ability to work efficiently under pressure and able to meet deadlines.
  • Must be able to effectively handle many different projects and responsibilities at once, problem-solve and multi-task, with the ability to manage last-minute emergencies in a calm and organized manner.

Financial Responsibilities:

Responsible for keeping business on track within operating budgets and identifying the most cost-effective solutions and opportunities.

Physical Requirements:
