Position Summary:

The Entertainment Ops Specialist manages and supports all departmental general administration for both the Entertainment Studios and Entertainment Operations to include Leadership scheduling, SQM and SOP updates, modifications & tracking, FVRs, general vendor follow ups and duties including production support when required. The incumbent collaborates with other departments such as Hotel Operations, Legal, IT, Travel, Marketing and PR supporting the shoreside office, Entertainment studio rehearsal and shipboard operation required for the day-to-day of Royal Caribbean Entertainment Department.

This role operates in a team environment and is expected to work in a collaborative way with leadership team and colleagues, as well as independently. Works closely with VP Entertainment.

Key Responsibilities:
  • Manages all SQM updates and Homeport revisions for Entertainment Production, Entertainment Technical, Headliner Entertainment, Live Music and Enrichment, Activities, Sports & Youth Operations.
  • Ensures all SOP updates as required by Entertainment Production, Entertainment Technical, Headliner Entertainment, Live Music and Enrichment, Activities, Sports & Youth Operations are published in necessary systems.
  • Oversees and Manages SQM and SOP tracking system ensuring all documentation is up to date.
  • Manages and schedules all meeting requests that involve VP Entertainment & Senior entertainment leadership team for both external and internal partners.
  • Manages all meeting requirements such as meeting rooms, catering needs, technology requests for large internal and external leadership meetings.
  • Creates, manages, and follows through with all senior leadership IT requirements to include SRM's, NEXTem, JDE set ups including system access, Tungsten, EMS, TMS and any other systems as required.
  • Department liaison for new external strategic partners and Entertainment Senior leadership.
  • Creates deck templates and information for routine weekly, bi-weekly, monthly and quarterly standing meetings.
  • Manages the department shipboard leadership conferences and summits from ideation to planning and execution.
  • Oversees and develops department wide quarterly strategic meetings, shoreside conferences, team building and social activities.
  • Organizes external competitive product research requests for senior leadership and key members of the Entertainment department.
  • Creates departmental ECC's and FVRs (Fleet Visitor Requests) required for senior Leadership Day visits and berthing requests, Vendor visits and Special Projects.
  • Department point of contact for interview requests, article vetting and any media relations requests.
  • General Office Manager responsible to ensure departmental facilities requests are submitted, supplies are budgeted for, ordered, and tracked and stocked as required including business cards,
  • Maintains the General department administration documentation such as departmental org chart, Department Contact List, Departmental Emergency Hurricane Evacuation Plan

Qualifications and Education:
  • A degree or Bachelor's preferred from an accredited college or university in Theater, Communications or Business Administration.
  • Experience in the entertainment industry and cruise industry shipboard and/or shoreside a plus.
  • Attention to detail and excellent organizational skills required.
  • Successful experience working on special projects preferred.
  • Effective verbal, written and listening communications skills and strong research/analytical abilities.
  • Understanding of computer systems to include Microsoft Word, Excel, Lotus Notes, Outlook, Access, Power Point, Smartsheet, Tungsten, JDE and open to work with internal systems.
  • Ability to work efficiently under pressure and able to meet deadlines.
  • Must be able to effectively handle many different projects at once, problem-solve and multi-task.
  • Language skills: Foreign language speaker a plus; however, not necessary.
  • Tavel required: Minimal to no travel required.

Financial Responsibilities:

Responsible for keeping business on track within appointed operating budgets and identifying the most cost- effective solutions and opportunities when required.

Physical Demands:

While performing job functions the employee is regularly required to sit, and stand, write, review and type reports, compile data, operate a pc, communicate, listen, and assess information. The employee may move about the office complex, may travel to other office locations, and may lift, push, pull or move 10-15 pounds. The employee is occasionally required to walk to the dock, ascend and descend the vessel. This position may regularly travel domestically or internationally. Visual requirements include distant, close and color vision, and ability to adjust focus.

Working Conditions:

The environment includes work inside/outside the office and travel to other offices. A high noise level is possible in production studio during rehearsals and if visiting shipboard or offsite locations.
