Position Summary:

The function of the Senior Project Associate is to provide assistance and support to the Senior Project Manager/Senior Director with the management of the Campus Modernization. The Senior Project Associate consults with various stakeholders, internal and external, to gather, analyze, and report data for recommended courses of action.

Project is top priority, high profile, with multi-departmental initiatives for the organization and thus require continuous communication and interaction in a fast-paced environment with the Senior Project Manager/Senior Director. Sr. Project Associate will assist in all aspects of the project planning, tracking, and status reporting.

Essential Duties and Responsibilities:

  • Project coordination to support the development, tracking/monitoring and reporting of different aspects of the project, ensuring on-time, on-budget delivery of project outputs.
  • Administrates team meetings (attendees, agenda, and official minutes) and drafts reporting of project status for project leadership review.
  • Establish and document workstream plans and coordinate multiple projects simultaneously.
  • Provide input on project planning methods and tool usage to project participants to standardize reporting methodologies.
  • Maintain project schedule updates throughout the life of the project.
  • Communicate project plan status on a regular basis to project team and project stakeholders. Establishing goals and analyzing project work process.
  • Ensure that high quality standards are met, and established processes are adhered to.
  • Facilitate meetings and problem solve with groups while dealing with a variety of variables in situations where no standardization exists.
  • Utilizes project management tools and techniques to develop and maintain project scope.
  • Plans, coordinates, and structures project's reoccurring meetings, ensuring clear objectives are established, executive involvement is secured (when required), and agreed-upon deliverables are met.
  • Conducts analysis & recommends solutions, based on gathered insight, to continuously improve methods and procedures in ways-of-working and utilizing best practices.
  • Performs vendor consultations/assessments to monitor progress and ascertain and define problems and obtain solutions.
  • Communicates effectively with outside vendors/contractors to ensure contracted deliverables are met in a timely fashion.
  • Track and resolve issues.
  • Identify, analyze, and escalate risks to Senior Project Manager/Senior Director, as appropriate.
  • Performs other duties, as required.

Qualifications, Knowledge & Skills:

  • 3-5 years of experience within large corporation or consulting firm in a project environment is required.
  • 3-5 years project planning and best practice development following a standardized project lifecycle process
  • Experience managing full project lifecycles in some of the following: construction, architecture, interior design, engineering - ship or land - preferred
  • Experience with standard project planning and management tools
  • Solid written and verbal communication skills a must. Clear and precise communication at all levels of the organization essential.
  • Excellent interpersonal skills, strength in communicating in a multicultural environment with all levels of employees and management.
  • Excellent administrative, organizational and presentation skills.
  • Ability to multi-task in a fast-paced environment.
  • Ability to coherently define problems, collect data, establish facts, draw valid conclusions, and find pragmatic solutions to problems.
  • Knowledge of or some experience with process improvement methods & techniques.
  • Ability to read, analyze and interpret contracts, financial reports, legal documents, and government regulations.
  • Superior decision-making skills required, including the ability to think critically and use independent judgment.
  • Ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from management, co-workers, and external partners.
  • Software: Proficiency in MS Word, Excel, PowerPoint, Visio, and Project required. Familiarity with email, internet applications and AutoCAD system essential. Familiarity with email, internet applications.

Education:

  • Bachelor's degree with a concentration in Engineering, Architecture, Project Management or related field, or equivalent experience.
