POSITION SUMMARY:

The role of Receptionist carries rotating responsibilities as Front Desk Receptionist and Phone Operator. As Front Desk Receptionist, the incumbent will greet visitors, including vendors, guests, job candidates, customers, and employees. They will also ensure lobby is maintained orderly and comfortable for visitors. As Phone Operator, the incumbent will receive and route a high volume of calls through the electric switchboard. The incumbent will perform varied administrative duties as directed by the head of the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greets all visitors, guests, and employees as they arrive. Directs passengers on sailing day to the appropriate Terminal. Secures taxi transportation for visitors as needed.
  • Screen incoming calls and forward to extension, routes calls to the appropriate extensions, including calls for Executives.
  • On a daily basis, reviews the summary of calls from the answering service and relays the message via email to the appropriate party.
  • Ensures all visitors register in the visitors' log and provides visitor's badge. Announces guests.
  • Grants access to approved users of the Visitor Parking lot and monitors to ensure only visitors are given access. Directing all employees to employee parking lots.
  • Monitors the reception area for literature and tidiness to provide a welcoming atmosphere. Reports to the Facilities Help Desk any items that need attention.
  • Handles Facilities Work Orders requests for new office and workstation signage
  • Performs other duties as required. This job description in no way states or implies that these are the only duties to be performed by the shipboard employee occupying this position. QUALIFICATIONS:

  • High School degree or equivalent required
  • 2-3 years of experience as a receptionist or switchboard operator in a high volume corporate environment.

KNOWLEDGE AND SKILLS:

  • Requires strong communication skills, oral and written
  • Requires excellent customer service skills
  • Able to handle irate customers and difficult situations with tact, diplomacy, and remain poised and calm.
  • Ability to display a professional and friend demeanor
  • Ability to exercise good judgement; problem solving skills
  • Professional personal presentation
  • Bilingual, English and Spanish - fluent

PHYSICAL DEMANDS:

The physical demands described here are representative of those requirements employees must meet to perform the essential functions of this job with or without reasonable accommodations. While performing job functions the employee is regularly required to sit during her eight hour shift, and stand as needed to replenish company brochures, write, review and type emails, compile data, operate a computer, communicate, listen, and assess information. The employee may move about the office complex, and may lift, push, pull or move 10-20 pounds. Visual requirements include distant, close and color vision, and ability to adjust focus
