POSITION SUMMARY

The Learning Management System Administrator (LMS Administrator) will support the Learning & Development team by executing critical LMS operational responsibilities that enable the delivery of learning programs to over 70,000 employees across the enterprise.

The LMS Administrator will work in a highly complex environment, enabling the delivery of learning offerings to three distinct audiences: shipboard, shoreside and Private Destinations employees. Each audience demands a unique set up within the LMS platform, requiring the administrator to have an in-depth understanding of the needs of each audience and flexibility to utilize the platform as required to meet those needs. A strong ability to build relationships and partner with key stakeholders to understand and deliver against the needs of our internal customers is critical.

The LMS Administrator will also maintain the appropriate infrastructure across our learning platforms-internally (RCLU) and externally (e.g., eCornell)-to enable the accurate tracking of completions and pulling of reports. This is a critical component of this role given our shipboard teams' high volume of regulatory and compliance training and the need to ensure data integrity in this regard.

ESSENTIAL DUTIES AND RESPONSIBILITIES

General:

Supports the day-to-day administration of LMS, the duties for which are outlined below.
  • Coordinates and continuously improves LMS administrative processes and activities cross-functionally to create best possible learning experience for the users.
  • Has awareness of all new feature releases and determines how those changes impact the LMS and our processes. Communicates to impacted stakeholders accordingly.
  • Assists with the review, testing and implementation of LMS updates and enhancements.
  • Updates system used by our shipboard teams for training tracking. Creates new training codes and maintains existing codes, ensuring they are assigned to correct positions.
  • Manages reporting requests, generating reports as needed from either the LMS, our shipboard tracking platform and/or vendor platforms to provide requested learning data based on customer needs.
  • Identifies and communicates opportunities for process and quality improvements, providing feedback on usage, defects, and suggested enhancements.
  • Keeps current with external LMS trends and developments and applies learning to improve LMS processes.

Course Management
  • Tests and coordinates testing of eLearning content to ensure correct functionality prior to launch.
  • Publishes/posts online, virtual instructor-led and in-person courses. Ensures courses are appropriately cataloged and that learners have the proper access.
  • Ensures the proper flow of content and data between external content providers' platforms and LMS platform. Pushes content from external platforms into LMS as needed to ensure content stays current.
  • Creates and manages the overall course structure and sets up course programs based on specifications from the instructional designer, business owner or program manager. Communicates options and makes recommendations based on which approach is most efficient, will provide the best user experience and facilitate downstream reporting.
  • Builds online assessments and evaluations within the LMS for courses.
  • Facilitates discussions between business owners, IT and vendors to understand system integration capabilities when using or considering the use of external content providers. Acts as subject-matter expert and LMS point of contact for all integration efforts.
  • Archives courses when requested.

User Management
  • Partners with IT to manage roles, securities, and permissions associated with LMS access. Receives and reviews requests and makes recommendations that will improve user experience while maintaining system security.
  • Creates and manages user structures including the creation of user groups and learning cohorts.
  • Monitors course enrollment for virtual and in-person instructor-led training and provides status updates to facilitator.
  • Provides support to users (i.e., trainers, managers, and learners) and assists them in using the LMS.
  • Supports other LMS administrators with general system functionality. Communicates relevant changes when system enhancements occur, providing training support as needed.

Troubleshooting
  • Provides first-tier and second-tier troubleshooting guidance for users regarding logging in to the LMS and accessing courses across our enterprise globally.
  • Collaborates with the LMS administration community on internal escalations, and with IT on escalations and tickets requiring resolution from our IT team or the LMS vendor.
  • Reviews and monitors system performance, escalating issues to the appropriate parties to ensure prompt mitigation and/or resolution.
  • Works with the instructional designers to troubleshoot and resolve technical issues related to accessing the LMS and online course content and supporting digital elements (e.g., videos).

QUALIFICATIONS
  • 2+ years in Learning Management System Administration
  • Experience working with Success Factors platform preferred
  • Proficient in Microsoft Office, specifically Excel
  • Experience working with remote teams and use of virtual conference tools
  • Proven track record of delivering projects on time and to a high-quality standard
