About the Role:

The PitchBook Facilities team is looking for a Project Manager to help with the management and execution of project deliverables. More specifically, this role will help drive the creation of project plans and schedules, oversee project performance and roadmap updates, generate project status communications and reports, ensure timely completion of deliverables, and ensure team communication and collaboration. The ideal candidates will be detail-oriented with excellent project management and communication skills and have the ability to work in a fast-paced environment juggling multiple projects with minimal supervision.

 

Primary Job Responsibilities:

  • As the Facilities Project Manager your priority responsibilities will be maintaining and improving FreshService (trouble ticketing), Room Data Sheets (standardize space use and programming), AV program integrations (standardize assets), and Global Physical Security systems (Brivo and Eagle Eye) 
  • Help define project scope and schedule to drive the creation of detailed project plans 
  • Support project meetings and ensure consistent distribution of meeting notes, status updates and project progress communication to keep all necessary stakeholders informed 
  • Facilitate team development of project milestones, work breakdown structures, critical paths, project statuses, project risks and dependencies and contingency plans 
  • Ensure all necessary resources and stakeholders adhere to project plans and assign action items to assure project execution 
  • Manage project team action items and project updates, holding individuals and team members accountable to commitments 
  • Produce accurate and timely reporting of program status throughout its life cycle in Asana, the project management tool used by the team to organize, track and manage projects 
  • Further develop standards and procedures as business and customer needs evolve 
  • Manage and maintain operations documentation in internal team drives and The Den
  • Assist with Tenant Improvement and Expansion Projects as needed
  • Support the vision and values of the company through role modeling and encouraging desired behaviors 
  • Participate in various company initiatives and projects as requested 

 

Skills and Qualifications:

  • Bachelor’s degree
  • 5+ years of professional work experience with 3+ years of project or program management is preferred  
  • 3+ years of experience within a Facilities Team capacity
  • Solid understanding of sourcing/procurement, building systems and maintenance, vendor management, and customer service  
  • Exemplary verbal and written communication skills; comfortable to engage a diverse array of audiences  
  • Ability to effectively communicate with local and international teams in a multicultural setting both in person, in writing and via Zoom video calls  
  • Ability to operate with a strong sense of urgency and deliver results  
  • Self-motivated, goal-oriented attitude, and can work effectively as an individual or as part of a team  
  • Analytical and process-oriented with a dedication to continuous improvement  
  • Effective resource management and project management skills  
  • Ability to problem solve and use judgment to make decisions within ambiguous situations  
  • Establishes trust and maintains open, positive relationships with team and customers  
  • Highly curious with a positive attitude  
  • Strong organization skills with attention to detail  
  • Proficient in Asana to track tasks and develop reporting, boards, etc.  
  • Proficiency with the Microsoft Office suite including in-depth knowledge of Outlook, Word, and Excel with the ability to pick up new systems and software easily

Compensation

  • Annual base salary: $84,400-$97,000
  • Target annual bonus percentage: 5%

 

*Starting pay will be based on several factors and commensurate with qualifications & experience. We also have a location-based compensation structure; there may be different ranges for candidates by location. 

 

Working Conditions:

We believe our business and our culture are strongest when we work together in person. We also know that it’s helpful to have some flexibility to work remotely. Most roles work in the office 3+ days/week, and some are expected to work in the office 4-5 days/week. The current expectation for this role is that you are working in the office 5 days/week and that you are in the office full-time during the training period, for which the length varies by role. During an initial phone screen, the team will discuss expectations for this specific position.

The job conditions for this position are in a standard office setting. Employees in this position use PC and phone on an on-going basis throughout the day. Limited corporate travel may be required to remote offices or other business meetings and events.
