Job Purpose

Ensuring to oversee all facilities and admin-related activities within the office. Responsible for safeguarding the proper functioning of the office infrastructure to ensure a safe, effective, and employee-friendly working environment.

Key Accoutnabilities

Office Management

  • To supervise the safe, effective workspace and uphold our brand and culture
  • Ensure smooth operation of reception desk (where applicable) and softphone/reception.
  • To coordinate the booking of all meeting rooms and shared facilities
  • To coordinate the catering for internal or external meetings of staff and visitors as required
  • To effectively procure and manage the use of office supplies, stationery and catering.
  • Oversee the day-to-day services of mail room services
  • Liaise, raising requisitions and overseeing the work of Vendors, Contractors & Service Providers
  • Supervision of Office keys, Access Cards, CCTV, Security Passwords, fire systems and fire extinguisher systems etc
  • Ensure that maintenance tickets are taken care of and closed in an acceptable timeframe and within SLA's
  • Space planning and/or move management
  • General Facility repairs and preventative maintenance by liaising with Landlord, Municipality or 3rd party suppliers
  • Work closely with the Global Executive Assistants and Office Administrators to ensure a global approach and consistency
  • Ensure timely resolution of employee concerns and requests related to facilities.

Health and Safety

  • To supervise the safe, effective workspace and uphold our brand and culture
  • Act as the responsible person in respect of Health & Safety, ensuring that the Company maintains its welfare, safety and health commitment to its employees and visitors.
  • Undertake all necessary building inspections, fire alarm testing, and evacuation drills
  • Raising requestions according to existing policies (on behalf of the Facilities department), including the management of an appropriate record-keeping system of supporting documentation.
  • Present the new hire Facilities Induction/onboarding Training / Process
  • Regularly update policies & procedures related to facilities and Health and safety.
  • Close monitoring of (Building Management Systems and other workspace systems) responding to maintenance issues for smooth safe operation of the space
  • Provide day-to-day coordination of the HSE Training & Risk Management System and any follow-up actions as a result of highlighted findings.
  • Act as a responsible person in respect of Health & Safety, ensuring that the Company maintains its welfare, safety and health commitment to its employees and visitors.
  • Undertake building inspections, fire alarm testing, evacuation drills.
  • Information gathering, recording and retention, with specific emphasis on the Safety, Health, and Environmental obligations (ESG) of the Business.
  • Ensure timely resolution of employee concerns and requests related to facilities.

Other

  • Support the global administration team with items such as travel bookings etc
  • Support on global activities and when appropriate managing and supporting adhoc local projects/events
  • Carryout any other reasonable duties as requested.

Skills

  • Strong knowledge of facilities management functions and role within a business.
  • Knowledge of MS Office with an emphasis in Excel is preferred.
  • A flexible attitude with respect to work assignments and new learning
  • Ability to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detail
  • Must have the ability to work methodically in a fast-paced, time-sensitive, matrix environment
  • Demonstratable ability to apply critical thinking to problems and tasks
  • Ability to identify and implement process improvements
  • Proactively participates in skills improvement training and encourages their teams to participate
  • A self-starter and able to work under own initiative

Knowledge and Experience

  • Solid Professional experience in the same or very similar role or be able to demonstrate a strong capability of acquiring the requisite competencies including but not limited to administrative, organizational, planning, communication skills with a can-do and will do attitude.

Education

  • Bachelor's degree or by training or demonstrable experience
  • Desirable to have an accredited qualification at IOSH Working Safely or above
  • Desirable to have an accredited qualification in VDU/DSE Workstation Assessment
  • Knowledge of Health and Safety and Fire regulations applicable to the office location
  • Ability to undertake/Review Risk Assessments Identify, Record Assess and Mitigate (IRAM)
  • Ability to review and intemperate Risk Assessments Methodology Statements (RAMS)
  • English: Fluent
