Overview

The Senior Executive Administrative Assistant will provide dedicated administrative support in a professional, confidential, and organized manner to multiple leaders including the VPHR (within the People function) across the West Division.

The role is to be based in one of the Division Hubs (Laguna, Phoenix, Denver).

Working Shift: Mon - Fri
Working Hours: 08:00 a.m - 05:00 p.m

Responsibilities

  • Monitor email and phone calls; proactively respond to and/or coordinate issues when necessary.
  • Maintain multiple calendars and schedule both on and off-site meetings.
  • Maintain and update distribution and contact lists.
  • Manage travel arrangements and T&E records for executive level management.
  • Coordinate all travel arrangements, proactively ensuring travel arrangements meet managers needs for maximum productivity.
  • Build, update, manage, coordinate and edit PowerPoint presentations needed to support the VPs or their teams. Proficiency in PowerPoint and excel expected.
  • Assist with set up and management of customer meetings and market tours.
  • Coordinate staff meetings and external events including team meetings, leadership planning meetings, people planning meetings, and team/community events.
  • Support special meeting requests across the Division (room booking, meal provisions, AV, etc...).
  • Partner with other Admin Assistants in the organization for seamless support and project coordination.
  • Work directly with Executive Admins and others within our customer's organization on calendar planning, organization of joint events etc.
  • Lead on-boarding process for new associates joining the organization. ie: securing laptops, HR set up needs, updating company distribution lists, securing company credentials etc.
  • Manage processing POs, invoice execution.
  • System access requests (e.g. idM, etc.).
  • Office supplies / logistics / shipping.
  • Organize/maintain department files, both electronic and hard copy.
  • Daily interaction with all Functional Teams.
  • Support broader team on tracking down information, or content within the organization that may be needed across functional teams ie: Marketing, Insights, Supply Chain etc.
  • Maintain high level of integrity, confidentiality and professionalism in handling all company material as well as calendar and or personal information a daily basis.
  • Ability to work proficiently and calmly under pressure situations.
  • Administer specific applications/time bound processes in an accurate and timely manner.
  • Work on special projects as necessary.

Compensation and Benefits:

  • The expected compensation range for this position is between $60,000 - $75,000 per year.
  • Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary. Your recruiter can share more about the specific salary range during the hiring process.
  • Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement.

Qualifications

  • 5+ years experience Executive Admin Support supporting VPs or higher and large teams (Consumer Goods Company and supporting Customer Sales Teams experience preferred).
  • Detailed knowledge, experience and proficiency in Microsoft Excel, Outlook, Power Point, and Word.
  • Extensive knowledge and experience with Microsoft Teams a plus.
  • Ability to become proficient in multiple IT applications.
  • Experience in prioritizing work and multi-tasking.
  • Strong sense of urgency.
  • Outstanding organizational and follow-up skills.
  • Discretion with sensitive information.
  • Excellent written and verbal communication skills.
  • Strong creative thinking and problem-solving skills.
  • Respects & values differences and acts with integrity.
  • Excellent administrative and organizational skills.
  • Able to work expertly and effectively in a dynamic, deadline driven environment.
  • Ability to exercise professional standards, discernment and discretion when taking care of sensitive information.
  • Exceptionally detail oriented and ability to independently prioritize and multitask.
  • Strong verbal and written communications skills, (ie: email, via phone, calendar entries).
  • Ability to anticipate and meet VPs needs, keeping the calendar seamless.
  • Ability to establish trusting relationships with both internal and external colleagues.
  • Knowledge of PepsiCo systems a plus (Concur T&E, MyHR, SAP, Teams).
  • High School diploma or GED; Bachelor's degree preferred.
