We are looking for an experienced, dedicated and reliable Executive Assistant to provide general administration and project management support to the Ops organization. The ideal candidate is highly self-motivated, professional, and capable of managing their work and prioritizing tasks in a constantly evolving environment. This is a contract to hire opportunity in Santa Clara, CA.

What you'll be doing:

This role is full-time onsite in Santa Clara - you will need to be in the office 5-days a week. In this role you will be part of a 3-person team that will assist the office of the Executive Vice President of Operations by being the backup support:

  • Serve as a trusted partner to the Lead Exec Admin of Operations and help drive initiatives on behalf of the Ops Team - ideal candidate will be comfortable with accepting tasks from Lead Exec Admin. Candidate will handle all tasks related to Ops Team while Lead Exec Admin focuses on Executive Vice President's requests.
  • Maintain efficient and productive calendars for Ops Team Leaders - optimize the operating calendar in a way that enables effective execution and alignment
  • Act as the administrative point of contact between the executives and internal/external clients
  • Responsible for coordinating staff meetings, business review meetings, employee meetings, and team meetings
  • Lead and manage event planning for celebrations - must be detail oriented, creative, and up with the latest and greatest trends while budget conscious
  • Create Excel Charts & PowerPoint presentations - will be creating BOD & All Hands slides, chart creation/formatting required in Excel, animation and innovative modern ideas required for PowerPoint slide creation
  • Work individually and with team members to plan and coordinate detailed logistics for events and conferences, including travel and setting up meetings with customers and partners involving webcasting and presentations. Also including managing travel documentation for business travel - provide necessary forms for Travel Visas & Passport Renewals, submit, and track
  • Manage and coordinate service contracts and invoices for a variety of functional groups and maintain email aliases, org charts, invoice tracking, office supplies, etc.
  • Involvement with Space Planning & Facilities Requests - lead all aspects of space plans and facilities requirements for the team (includes floor re-shuffles, new hire setups, etc.)
  • Work on special projects as needed and provide support to executives outside of normal business hours as necessary as well as handle corporate moral gifts - order gifts for life's expected and unexpected events

What we need to see:

  • BA degree or equivalent experience
  • 15+ years of experience as an Executive Administrative Assistant reporting directly to a C-level executive
  • Strong organizational, project management, and analytical skills with strong multi-tasking abilities
  • Creative skills are essential, modern design ideas required to build PowerPoint slides
  • Proven ability to work productively in a dynamic high-tech environment and handle sensitive information with appropriate confidentiality
  • Demonstrated ability to work effectively in a global company
  • Advanced MS Office, Outlook, and Teams/WebEx/ Zoom capability, including scheduling management for individuals and teams, building PowerPoint presentations, manipulating data in Excel, generating memoranda in Word, and preparing reports
  • Professional level written and verbal communication skills while also possessing great interpersonal skills as you will need to work well with others and have the ability to learn from situations that go amiss
  • Self-motivated, proactive, creative, flexible, and use good judgment to accomplish tasks on schedule with minimal direction and supervision
  • Passionate overachiever who enjoys going above and beyond with minimal external disruption during work hours

The base salary range is 92,000 USD - 166,750 USD. Your base salary will be determined based on your location, experience, and the pay of employees in similar positions.
