We are currently seeking a Senior Bilingual Project Coordinator to join our team Remote based anywhere in Canada.

Position Summary:
We are looking for a Project Coordinator with 10+ years experience. You will work collaboratively with Software Product Specialists to organize and communicate all the details of the project. The project has a requirement to modernize video conferencing equipment with Microsoft Certified Microsoft Teams Rooms (MTR) equipment in multiple boardrooms in sites across Canada. The current video conferencing offering in these boardrooms leverages legacy equipment, which does not provide meeting participants with a functionally rich native Teams experience. This project will procure new Microsoft Certified equipment for these MTR boardrooms, including requisite ancillary peripherals, cabling, etc., as well as procuring installation services for the modernization of these boardrooms.

Job Description:

  • Maintain PMIS - schedule, risk and issues log, dashboards, milestones, & other related Project coordinator tasks.
  • Maintain MS Project Schedule - update and amend schedule as required, present updates to the manager of the project.
  • Coordinate the Video conferencing Task Authorization for site and installations waves for implementation for the VCM project, ensure the technical advisors are scheduled and the TA documentation is tracked properly, quality reviewed and ready for submission to the client.
  • Maintain the Project costing workbook, obtain and compile the updates from stakeholders and present.
  • Monitor and oversight for the Project TA tracker, and the Boardroom tracker.
  • Work with clients and stakeholders to ensure data capture and changes, information updated promptly.
  • Assist Project management and data processing professionals, technical users and end users in Project coordination and synchronization tasks.
  • Provide administrative and technical support of a clerical nature as required to a Project team.
  • Assist in performing such tasks as maintaining Project documentation and Application/system libraries.
  • Act as the first or single point of contact in a "hot line " situation by accepting incoming calls, logging calls, attempting to resolve simple problems, and following established procedures for more difficult problems.
  • Track Project change requests.
  • Maintain and update relevant Project information in manual and/or electronic files, such things as Project activity schedule, status reports, correspondence.
  • Use computer tools, aids, system control languages on PCs, minis, or mainframes to perform Work.
  • Communicate with Project management and data processing professionals, technical users and end users on administrative matters related to the Project.

Mandatory Qualifications:
  • Minimum of 10 years experience working in a Project Management/ Project Coordination role.
  • Minimum of 3 years experience with project coordination specialties, such as: MS Project/PMIS, Coordination of Federal Task Authorization processes; and Procurement knowledge.
  • Must be bilingual (English/French).
  • Must have Public Sector experience.
  • Must currently hold a valid Reliability Security Clearance.
  • University degree or college/CEGEP Diploma related to computer science, information technology, or engineering from a Canadian post-secondary institution, or the equivalent as established by a recognized Canadian academic credentials assessment service, if obtained outside Canada. A copy of the degree, diploma or equivalency must be provided.
