Northrop Grumman Aeronautics Systems Sector has an opening for an Administrative Assistant needed for functional homeroom support within the Software Engineering Directorate in Melbourne, FL. This individual should possess excellent written & verbal communication skills, be self-motivated and team oriented.

Responsibilities include supporting internal and external briefings & presentations, scheduling & coordinating logistical support for meetings and teleconferences, managing calendars & schedules, making domestic/international travel arrangements & preparing expense reports, answering phones, establishing and/or maintaining filing system, monitoring emails, preparing for & coordinating customer visits, maintaining office supply cabinets & ordering office supplies as needed, scheduling maintenance of business equipment and arranging office moves & on-boarding activities for new employees.
Additionally, duties can consist of initiating, obtaining, and proofreading information for weekly reports and special assignments, gathering, compiling and reporting on information relevant to supervisors' assignment, gathering, compiling and reporting on information relevant to supervisors' assignment and may act as a coordinator of projects, compiling data, following up on pending details, coordinating activities, and ensuring deadlines are met.
The successful candidate must be proactive, well-organized, and dependable and have the ability to work with minimal supervision. The position requires professionalism, flexibility, diplomacy, judgment, discretion and the ability to multitask and work independently. Must have the ability to filter high traffic correspondence and contacts, interface with all levels of management and customers, and manage schedules including conflicts and changing travel requirements.
Duties and responsibilities include, but are not limited to:
- Perform normal office functions such as setting up and maintaining files; managing emails and calendars; meeting
- Organization and set-up; managing office supplies; answering phone calls.
- Manages the day-to-day travel bookings and expense reports in keeping with Northrop Grumman policies
- Reviews draft and finished documents; answers questions relating to office operations and established policies and procedures.
- Gathers, compiles and reports on information relevant to supervisor's assignment
- Coordinate moves and facilities needs for team
- Coordinate accommodations, computer, and supplies for new hires and existing team members
- Order catering for company meetings and set up conference room
The ideal candidate is someone who can multi-task on several projects, update and maintain multiple appointments and meetings on multiple Microsoft Outlook calendars and thrives in a very busy environment.
Basic Qualifications:
- High School diploma required.
- 4 years min Administrative Assistant experience.
- Experience with NGC corporate policies related to directorate personnel.
- Experience with Microsoft Office tools, including Outlook, Word, Excel, PowerPoint
- Ability to obtain and maintain DoD Secret Clearance
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Previous experience working in a support role for an engineering directorate
- Previous experience using software for functional area to compile, and generate reports, statistics, timelines, tables, graphs, correspondence and presentations
- Ability to work under limited supervision
- Active Secret or SAP clearance is preferred
- Ability to compile, review and analyze data
- Advance skillset in MS Excel; good experience SharePoint 2013 and Confluence
- Ability to perform routine work without instruction and to work on new work and special assignments with limited instruction
- Proficient with NG Sector tools, including iBuy, Concur, eRoom, MyIT, SharePoint, iTrip, etc.
- Must be able to independently assess priorities and work with confidential information
- Demonstrated ability to manage multiple administrative projects and initiatives is required.
Salary Range: *$55,100 - $91,800
The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.
Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
