This is a hourly, non-exempt role. This position will be located onsite in San Diego, California at Rancho Bernardo Building 3.

This role may be filled at either the Administrative Assistant 2 OR 3 level, based on qualifications listed below
In this role the selected candidate will perform normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisors assignment. May take and transcribe dictation.
Key Responsibilities:
Arrange meetings and teleconferences
Maintain and synchronize program calendars
Arrange travel and prepare associated expense reports
Answer questions and solve problems related to office operations and established policies and procedures
Coordinate office workspace planning, ordering office equipment, and coordinate with the facilities and IT organizations on office repairs/updates
Interface with all levels of Program personnel and Customers
Process visit requests, badges and accounts forms
Act as the primary focal point for base/site access requests
Support coordination and integration of meeting materials
Support and collaborate with other Administrative Assistants as needed
Support special event planning and catering, such as meal planning, ordering food from caterers, delivering food, clean up and expensing
Gathers, compiles and reports on information relevant to supervisors assignment
May take and transcribe dictation.
Basic Qualifications (Administrative Assistant 2):
Must have a High School Diploma/GED plus 2 years of additional education and/or relevant experience in administrative support
Must have prior experience working as an Administrative Assistant or performing equivalent responsibilities
Must have experience in Concur/ITRIP, I-Buy, NG My IT, SAP
Must have ability to obtain and maintain DoD Secret clearance and Special Program Access (PAR) within a reasonable time as determined by the business.
Basic Qualifications (Administrative Assistant 3):
Must have a High School Diploma/GED plus 4 years of additional education and/or relevant experience in administrative support
Must have prior experience working as an Administrative Assistant or performing equivalent responsibilities
Must have experience in Concur/ITRIP, I-Buy, NG My IT, SAP
Must have ability to obtain and maintain DoD Secret clearance and Special Program Access (PAR) within a reasonable time as determined by the business.
Preferred Qualifications:
Knowledge of calendar management for multiple stakeholders or managers to support
Active Secret or Top secret clearance
Proficiency in Microsoft Office Suite including Word, PowerPoint, Outlook, Excel
Proficiency in editing written material for correct spelling and grammar
Experienced with organizing/maintaining/deconflicting schedules, calendars, meetings, and travel arrangement
Able to relay and receive information
Able to collaborate in a team environment
Ability to prioritize and adjust tasks to accomplish the project result
Ability to make decisions which have impact on the organization's credibility, operations and services
Able to understand and execute on sequence of operations or action to be taken
Able to perform work in an approved environment during specified work hours
Ability to move and position objects weighing up to 15 pounds
Able to change physical locations based upon need (including physical ability to travel)
Salary Range: $45,800.00 - $76,400.00Salary Range 2: $54,400.00 - $90,600.00The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.
