EMEA Flagship Program Team

The EMEA Flagship Program Team is responsible for building Nike's future flagship store in London, translating the global vision for pinnacle retail into an executable project. The Program works across a complex network of cross-functional teams both in EMEA and Global. The Program Team's goal is to bring Nike's flagship store ambition to life on-time, on-cost, and on-quality, while keeping the consumer, the team and the planet at the center of everything we do.

WHO WE ARE LOOKING FOR

The Lead Associate will be the backbone of the EMEA Flagship Program Team, supporting all of the team's office management and administrative responsibilities, while providing project management support to the Program and Project Leaders.

The ideal candidate is, at their core, equal parts facilitator and problem-solver. They get their energy from making others around them better. They proactively identify the needs of the team and the program and work to solve problems before they arise. They are infinitely flexible, adapting and adjusting to ever-changing direction and priorities, and doing it with a smile and a can-do attitude!

The candidate should have a passion for retail, a proactive spirit, strong problem solving & communications skills, and the ability to build positive working relationships. Additional characteristics that will enable success: Strong experience in planning, scheduling tasks, event management, senior stakeholder management, and project management processes and tools is a must!

Preference given to candidates with strong project management experience and certificates or accreditations that support similar functions. Store construction or Store Development experience is also a plus but not required.

We are looking for someone that is dynamic and versatile.

Further requirements:

  • Ability to manage in-person and remote work demands
  • Comfortable working in a very fast-paced, results-oriented environment with complex stakeholders matrix
  • Experience in calendar management, including planning
  • Extremely organized with a strong attention and eye for detail
  • High level of proficiency with office management and project management tools, including Microsoft Office, Keynote and Smartsheet.
  • An occasional need to lift small amounts such as material samples, workshop supplies, etc.
  • Comfortable speaking (in English) with multiple stakeholders at varying levels
  • Expected onsite at Nike's European Headquarters three days per week, with option for remote / flexible / hybrid work two days per week. Periodic travel (up to 5%) required, primarily to London. Occasional early mornings or evening events to be supported.

WHAT YOU'LL WORK ON

You will keep the team organized, on-track and on-schedule. Your primary role will be administrative and supportive in nature, while leading smaller projects and owning outright responsibility for team calendar and event planning. Your core responsibilities will include:

As the lead on all office management responsibilities, you will be:

  • Supporting the Sr. Program Director, Program and Project Leads and Scheduling Lead in outlining the key milestones of the program and effectively planning ahead to schedule meetings and events with a broad spectrum of stakeholders.
  • You will own the team calendar and align it to the project calendar for the flagship store opening. Looking ahead is key, and you will be expected to anticipate the needs of the program team, the broader extended team and senior leaders. You are comfortable creating scenarios and adapt to frequent changes, building new plans quickly.
  • For key meetings, you will give thought to the audience, the topics and will plan accordingly. You are thoughtful about how physical spaces promote the right kind of meetings. You prepare materials and tools for collaboration ahead of time, taking direction from the team but making it your own.
  • You will be asked to draft meeting agendas, take minutes notes and compile meeting recaps.
  • You will own team travel calendars, will book travel and external spaces as needed, and will be asked to manage team expenses and expense planning, reporting and tracking.

As a support on project and program management:

  • You will be asked to take on smaller projects and solve problems without past precedent. This will include creating a project scope and charter, convening key stakeholders, and managing the tracking and communication of project milestones.
  • You will also work in service of the Program and Project Leads to provide an "extra set of hands" on bigger and more complex projects.
  • Proficiency and a willingness to gain additional skills in Smartsheet is a must, as this is our key project management tool.
  • A clear and professional communicator, you will often float between communication platforms - Slack, Email, Text, Presentations and Meetings. Ability to clarify and consolidate multiple inputs into simple summaries and action lists is a must.
