Job Description
The Opportunity:
As a Sr. Material Operations Coordinator, you will play a crucial role in coordinating production schedules for promotional displays, ensuring timely delivery and compliance with customer specifications. Responsibilities include managing communication between internal teams, addressing production challenges, and ensuring materials are available for each job. The role also requires preparing and distributing reports, maintaining accurate documentation, overseeing requisitions, and managing vendor contracts. Additionally, the job entails tracking utility usage and purchase orders, ensuring compliance with customer requirements, and supporting administrative tasks to ensure smooth operations. Attention to detail and strong organizational skills are essential to this role. The role is based in our San Bernardino, CA Distribution Center.

What Your Impact Will Be:
- Manage weekly promotional display production schedules in collaboration with the customer service planning team, aligning with demand, availability, and line capacity.
- Communicate production challenges effectively, both upstream and downstream, ensuring timely resolution or escalation of issues.
- Collaborate with partners to address and resolve product and customer compliance challenges.
- Assemble and distribute promotional display job kits, along with detailed instructions, to department leads and supervisors to ensure displays are manufactured according to customer specifications.
- Review documents, system data, and instructions for each job or production run to ensure accuracy and completion according to plan.
- Coordinate with internal teams to ensure materials are procured in a timely manner for each job.
- Prepare and distribute required reports (daily, weekly, monthly) to track progress and performance.
- Ensure strict compliance with customer requirements throughout the production process.
- Perform work with a high level of accuracy, ensuring quality standards are met.
- Operate a computer proficiently, utilizing Microsoft Office software and learning new programs as needed.
- Complete the Daily Shipping Report, preparing and submitting reports for all three distribution centers (DCs).
- Oversee requisitions and purchase orders in Coupa for office, janitorial, and operations supplies.
- Sort and distribute incoming mail to ensure timely delivery to the correct departments.
- Create budget estimates for the upcoming year, with a focus on utilities and contracts.
- Manage vendor contracts, ensuring compliance and timely renewals.
- Update and maintain the quarterly VL360 report, tracking utility usage (kilowatts, trash, compost) and providing findings to the procurement department.
- Undertake other responsibilities and tasks as assigned by the supervisor.
Qualifications
What We’re Looking For:
- Strong oral communication skills. Able to speak effectively before staff, management customers, vendors, and other corporate partners
- Self Starter: Ability to work independently with good interpersonal skills.
- Organizational skills: Ability to work on multiple concurrent tasks and projects and ability to re-prioritize on a continuous basis
- Deadline oriented
- Strong writing skills. Able to write reports and correspondence.
- Strong reading skills. Able to read and interpret documents such as shipping documents, bills of lading, reports, inventory documents
- Able to analyze and interpret reports, graphs, and other data
- Strong and accurate data entry skills
- Experience working in a warehouse or logistics environment preferred
Preferred Qualifications:
- HS Diploma required
- 2+ years of experience in logistics planning, administrative support, or a related field.
- Proficient in Microsoft Office Suite, including Excel, Word, PowerPoint, and Access.
The base hourly range for this position is $25.00- $31.00.
**This range is indicative of projected hiring range, however base hourly rate will be determined based on a candidate’s work location, skills and experience
