Description and Requirements

Can you provide high-level, confidential & administrative support for our ISO Global Channel and COO organization? Can you manage and run smoothly & effectively the executive office?

In this role you will work in a complex global environment. You will be responsible for managing complex calendar - coordinating internal/external meetings and you will work with chief of staff and other executives in coordinating executive staff meetings.

To be successful in this role you should have experience in managing complex, multi-time zone travel, complex meeting scheduling & coordination of site events. You will be exposed to high level confidential information and that will require diplomacy and discretion. It will be essential to create and maintain good relationships with the executive admin team in NA. You will be the gate-keeper and represent the office and promote the company image by building relationships with both internal and external customers.

What are the job responsibilities?

  • Execute and drive org specific projects with high attention to detail on event planning.
  • Ability to make sound decisions on behalf of executive with minimal direction
  • Arrange complex, multi-leg international and domestic travel, pro-active tracking of all flights and ground transportation, maintain travel and expense budget.
  • Educate executives on policy and new procedures (spend limits, city caps.) and have understanding of company policies and tools.
  • Review/approve expense reports on behalf of executive, process expense reports and reconciliation against statements.
  • Provide mentorship to executive administrative partners and admin assistants in support center.
  • Ability to work across GEO's, keep executives on track to meet commitments, assist extended team members with administrative duties as needed.
  • Maintain confidentiality of all sensitive or proprietary information.
  • Generate and format presentations and draft communications, deck consolidation, agenda, actions, follow up for all hands & town all meetings

  • 5+ years' experience supporting executives in a corporate environment.
  • Intermediate technical skills a must (MS Office 365 Suite.)

We are open to hire this role in another European country as well.
