Description and Requirements

Job Summary: The Design Portfolio Operations Manager is responsible for overseeing the coordination and execution of design projects within the organization. This role requires fluency in both English and Chinese and demands excellent project management skills to ensure that all design deliverables meet deadlines and quality standards. The successful candidate will serve as the primary point of contact between DIT executives, internal staff, and external stakeholders, facilitating communication and collaboration to support the schedules and design deliverables. Additionally, this role involves supporting the DIT BMS and Shift-Left processes and assisting with special projects as needed.

Key Responsibilities:

Project Management:

  • Oversee the planning, execution, and completion of design projects, ensuring adherence to schedules and deliverables.
  • Track project progress, identify potential risks, and implement mitigation strategies to ensure timely completion.
  • Utilize project management tools and methodologies to manage multiple projects concurrently.

Communication and Coordination:

  • Serve as the primary liaison between DIT executives, internal teams, and external stakeholders.
  • Facilitate effective communication and collaboration across departments to ensure alignment on project goals and timelines.
  • Prepare and present project status reports and updates to stakeholders as required.

Support of DIT BMS and Shift-Left Process:

  • Assist in the implementation and support of the DIT Business Management System (BMS) and Shift-Left process.
  • Ensure that all processes are followed correctly and that team members are adequately trained and supported.

Special Projects:

  • Conduct research, collect data, and prepare reports for special projects as assigned.
  • Assist in the analysis of project outcomes and the development of improvement strategies.

Documentation and Reporting:

  • Maintain comprehensive project documentation, including plans, schedules, and progress reports.
  • Ensure that all project records are accurate, up-to-date, and accessible to relevant stakeholders.

Qualifications:

  • Education: Bachelor's degree in Project Management, Business Administration, Design, or a related field.
  • Experience: Minimum of 5 years of project management experience, preferably in a design or technology environment.
  • Skills:
    • Fluency in both English and Chinese (written and spoken) is required.
    • Strong organizational and time management skills.
    • Excellent communication, interpersonal, and negotiation abilities.
    • Proficiency in project management software and tools (e.g., MS Project, Asana, Trello).
    • Ability to manage multiple projects simultaneously and work under tight deadlines.
    • Strong analytical and problem-solving skills.
    • High level of attention to detail.

Preferred Qualifications:

  • Experience in the design or technology industry.
  • Familiarity with process ideation, creation, and implementation.
  • Certification in Project Management (e.g., PMP, PRINCE2).

Work Environment: This role typically operates in a professional office environment. Occasional travel may be required to support project activities and stakeholder meetings. This role serves as liason to international management and stakeholders and will include morning and evening meetings to accommodate for time differences.
