Primary Responsibilities

  • Become familiar with document production processes including subject matter author drafting, technical review/resolution, technical editing, word processing, corrections and finalization of deliverables following final management review, revision archival, and subsequent review and word processing of document revisions (including checking revised documents against comment response tables) for delivery.
  • Support production of complex documents varying in length from a few pages to hundreds of pages, including covers; table of contents lists; lists of acronyms/abbreviations; unit abbreviation lists; text pages including styled multilevel numbered headings and tables; reference sections; figures; and appendices/attachments with cover sheets.
  • Using Microsoft Word, enter comments, corrections, and revisions into files. If needed, adjust heading formatting or add notes as comments advising the word processor to reorganize headings levels or modify other formatting for consistency.
  • Read and revise documents, correcting grammar and punctuation, identifying inconsistencies in word usage and presentation of information, ensuring accuracy and consistency within documents and appendices, and editing text from multiple authors to read with "one voice." Draft documents typically require a full-read edit, whereas editing track changes in Word may be sufficient when checking revised documents against comment response tables unless revisions are extensive.

  • Learn and apply applicable style guides and project preferences for managers/clients, often working with different style guides/preferences for individual documents simultaneously.
  • Maintain all aspects of the production process for each document: receive and adhere to schedule and budget allotment, simultaneously support multiple projects with overlapping schedules, receive document pieces and follow up regarding outstanding files, edit, coordinate review cycles with authors/managers/word processors, and review the final product for delivery.
  • Explain/justify editing revisions if/as needed.
