Kindbody’s clinically managed program covers the full spectrum of reproductive health, including both female and male fertility, which encompasses fertility assessments and education, fertility preservation, genetic testing, in vitro fertilization (IVF), donor and surrogacy services, and adoption, as well as a full continuum of reproductive care including physical, mental, and emotional support.
About the Role
The Facilities Operations Associate coordinates facilities maintenance, repairs, service, and small projects in a rapid-growth team environment with existing and upcoming medical clinic facilities across the United States.
Reporting to our Director, Clinic Environment & Facilities, you will work in a fast-paced, rapidly growing environment where you will be relied on for your expertise, professionalism, and collaboration. This role is a full-time hybrid position. **Must be NY or Chicago based**
Responsibilities
Facility Operations
- Coordinate repairs, renovations, and upgrades to maintain brand standards and safety regulations.
- Maintain response time & resolution time SLAs for Maintenance requests (in JIRA).
- Follow preventative maintenance programs to ensure heating, ventilating, and air conditioning systems, electrical distribution systems, mechanical equipment, plumbing systems, physical security, backup generators and all other core building systems are in optimal condition.
- Coordinate response to one-time events such as floods or shutdowns to minimize disruption to clinic operations.
Vendor Management
- Maintains effective, collaborative relationships with a network of competent service-orientated vendors.
- Manage vendor partnerships, providing regular formal and informal performance feedback.
Record Keeping & Budgeting
- Manage processing, tracking, and release of payments relative to all work performed, contracts, and initiatives.
- Manage budgets for each location and ensure all invoices are submitted and logged appropriately.
- Ensure all service reports and maintenance logs are securely documented.
Customer Service / Employee Experience
- Effectively manage communication with clinic operations managers and regional operations managers.
- Provide status updates and reports to leadership and cross-functional partners as needed.
- Partner with cross-functional teams to ensure the business's seamless operations.
Who You Are
- Minimum five (4) years of experience in a Facilities Operations role overseeing multi-unit healthcare operations.
- Experienced with JIRA, Zendesk, or other ticketing platforms.
- Strong communication skills, able to change effectively, overcome resistance, and builds commitment.
- Organized and able to effectively manage multiple, diverse tasks and adhere to tight deadlines.
- High degree of proficiency MS Office Suite, Outlook & Internet applications
- Strong analytical, prioritizing, interpersonal, problem-solving, presentation, budgeting, project management (from conception to completion), & planning skills
- Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment.
- Familiar with construction best practices, process, and Industry standards
Compensation - $57K - $69K
