Position Overview

The Seasonal Procurement Coordinator is a member of the Sourcing team who reports directly to the Procurement Lead with a dotted line to our Sr. Compliance Manager. The primary responsibilities are to support the procurement team during our peak holiday season through administrative and operational support.

Responsibilities:
Procurement Support

  • Procurement Inbox management
  • Store Orders:
  • Tracking numbers- requesting from the suppliers and communicating to stores
  • Manage expedite requests and approvals
  • Own communication with suppliers on any order issues and solutioning with stores
  • DC Orders:
  • Tracking numbers- requesting BOL's from suppliers and inputting into tracker
  • Delivery appointment scheduling
  • Ensure receipt of supplies
  • Communicate with PFS to ensure counts are input on time
  • Order miscellaneous unbranded supplies based on run out tracker & counts
  • Supplier Inventory Reports
  • Ensure suppliers send reports Mon/Tues of the week
  • Input information from the reports into the Run Out document to track usage of each item by week
  • Review current inventory levels and
  • Coupa Admin:
  • Add/remove users
  • Pending buyer action
  • NSO order approvals
  • Address updates
  • Update item costs
  • Retail Budget Upload
  • Review invoices pending approval by purchasing group
  • Confirm cost with suppliers and approve or dispute as needed
  • Sample organization
  • Organize sample closet, label and discard as needed
  • Project Tracker
  • Update and build out project tracker with current information
  • PO Tracker
  • Update PO Tracker with order information as bulk purchase orders are placed with suppliers
  • Factory Supplies:
  • Review invoices for factory packaging orders to ensure accuracy
  • Egencia and Lyft Admin:
  • Add/remove users
  • Update approval chains
  • Manage guest profiles

Compliance Support
  • Generate export commercial invoices
  • Assist with updating import commercial invoices
  • Denied Party Screening Software Maintenance and new partner screening
  • New Vendor Kickoff Emails and Follow-ups
  • New supplier PLM tracking and scrub current information
  • Collection of audits and creating a tracker in PLM
  • Assist with Classification *if holding a certificate- certified customs specialist.

Our Ideal Candidate Will Have:
  • Bachelor's degree or equivalent work experience
  • 2-4 years' experience in a supply chain related role for a high-growth retail company
  • A proven ability to break down larger initiatives into consumable achievable tasks to achieve departmental and company objectives
  • Strong written and verbal communication skills
  • Experience working with global suppliers and agents
  • Extreme attention to detail
  • A solutions-oriented mentality with a data driven approach
  • Proficient in Excel
  • Experience with data analysis & reporting
  • Broad knowledge of retail operations, procurement, compliance, and supply chain
