As a Senior Executive Assistant within the Conduct, Compliance and Operational Risk organization, you will be tasked with maintaining a high level of professionalism while representing the manager or group. Your role will involve daily interaction with executive level internal clients across various business lines. You will be expected to produce impeccable work and excel in a team environment. Additionally, you will be responsible for adapting procedures, processes, and techniques to meet the department's activities and goals.

Job responsibilities

  • Manage the coordination and logistics of both internal and external meetings
  • Process invoices and T&E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelines
  • Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
  • Handle regular activities without prompting, and advise in advance with issues or delays
  • Assist in editing spreadsheets and presentations, including printing and binding, for client meetings
  • Manage complex calendars for Senior Executives
  • Support Business Management functions, including maintaining key documents (e.g., organizational charts, Executive Bio's, background materials).
  • Coordinate and organize senior meetings, draft communications and presentations including agenda setting, material preparation and distribution, coordination of guest speakers, and logistics.
  • Arrange and maintain extensive travel plans and itineraries for both international and domestic travel
  • Complete expense reports in a timely and accurate fashion

Required qualifications, capabilities, and skills

  • Minimum seven years administrative experience
  • Strong personal leadership, ability to work independently and effectively in a demanding, changing environment
  • Detailed and strong organizational skills
  • Exceptional interpersonal, presentation and communication skills
  • Fluency in all Microsoft Office products
  • Experience with travel and expenses management systems, such as Concur

Preferred qualifications, capabilities, and skills

  • Experience supporting at the Managing Director level (or equivalent) or above
  • College degree is a plus

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
