We are looking to hire an Admin Assistant for Investment Banking Japan. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. In this role, you will need to work well in a team environment.
As an Admin Assistant in Investment Banking Japan, you have attention to detail, structure, quality focus, high energy and flexibility to a high-paced deadline driven organization.
Job responsibilities
- Handle general secretarial jobs for bankers
- Handle calendar management and associated tasks such as booking conference rooms, audio visual equipment, documentation, meeting scheduling etc.
- Manage logistics & arrangement of meetings for visitor(s), management meetings
- Coordinate logistics for business trips and team travel arrangements, when appropriate
- Provide general support including photocopying, booking meeting rooms, stationery re-ordering, typing, filing, mail, etc.
- Manage filing, invoicing and processing of expense claims and related record-keeping
- Maintain department's records and handling phone enquiries
- Assist and/or lead the organization of events (both internal and external)
- Maintain clients communications as necessary per managers' required
- Handle personnel on-boarding and off-boarding coordination, including logistic for new staff
- Assist in ad hoc project administration support when required

Required qualifications, capabilities, and skills
- Excellent interpersonal & communication skills with experience working with a variety of cultures
- Strong organizational skills, is meticulous with details, and self sufficient
- Able to work with a high degree of autonomy as well as part of a team
- Experience in managing relationships across all levels
- Able to work under high pressure and tight deadlines
- Strong proficiency in both written and spoken Japanese and English
- Strong Microsoft Office skills
Preferred qualifications, capabilities, and skills
- Experience in financial industries is preferred
