We are seeking a highly organized and proactive Executive Receptionist to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office and supporting our executives with a variety of tasks. Job responsibilities:
- Manage the purchasing of market and office supplies to ensure the office is well-stocked.
- Handle the receipt of mail, welcome external clients.
- Manage exchange contracts, and liaise with court officials as needed.
- Coordinate with facilities to address and resolve any office maintenance issues promptly.
- Print and prepare books and documents for executives.
- Organize small events, liaising with pre-registered suppliers to ensure successful execution.
- Arrange meeting rooms, assisting visitors with Zoom connections and other technical needs.
- Oversee the duties of the general services assistant, including cleaning and pantry services.
- Approve access within the bank's internal system, ensuring compliance with security protocols.
- Manage the entry and exit of contractors, coordinating with building management.

Required qualifications, capabilities, and skills:
- Proven experience as an receptionist, or in another relevant administrative role.
- Availability to work from Monday - Friday 8am to 5pm with 1 hour lunch break, in our Rio de Janeiro office location.
- Solid organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong communication and interpersonal skills, with a professional demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.
- Experience with scheduling software and virtual meeting platforms like Zoom is preferred.
