As a Business Assistant in the Investment Bank, you will be required to support at a senior level within this fast-paced environment. We are looking for someone with a solid Executive Assistant background, who has worked with senior stakeholders in an office environment. In this role, you will need to demonstrate flexibility and an advanced Assistant skillset. A high degree of confidentiality is also essential for this role.
Job responsibilities
- Manages daily activities: advanced, proactive diary management; to include internal/external meetings, conference calls, and ability to support orchestration of Off-Sites/Town Halls/Skip-Levels
- Manages complex multi-leg travel arrangements within policy: co-ordination of flights, trains, check in, VISAs, accommodation, and ground transportation logistics. Handles a multitude of frequent changes at short notice and prepare accurate travel itineraries
- Greets clients: internal and external client handling to include client facing interaction and co-ordination of department scheduling & transactional activity
- Partners with relevant groups to enable expense processing
- Works with Business Management and other key business stakeholders cross Line of Business, has ability to face off to wider support groups
- Utilizes internal systems, completes accurate data entry, produces reporting and collates information as required
- Oversees distribution lists, technology usage and other administrational housekeeping
- Becomes integral part of business, understands changeable group priorities and business expectation
- Partnerships with assistants cross Line of Business to provide coverage as required
- Involves in PPT, projects and training for the right candidate subject to performance strong work ethic, good time management, resourcefulness, diligence, and a strong business and client deliverable focus.

Required qualifications, capabilities, and skills
- Professional client handling, ability to build and maintain business relationships
- Full competency in diary management, can apply good judgment and understand competing priorities
- Strong, executive communication style both written and verbal
- Strong proficiency in Microsoft Office
- Experience of effectively arranging travel, production of accurate itineraries, plan B & C, able to navigate systems well and apply good judgment on how to optimise travellers time and business costs
- Can demonstrate pro-activity and ownership within the role
- Strong awareness of expense systems and cost control initiatives e.g., can champion expense policy
- Polished, professional approach, calm and composed manner, ability to work in a pressured environment and partner effectively across different hierarchies
- Is flexible, willing, and receptive to change, has a high level of attention to detail and delivers high quality results
- Understanding of the culture of an Investment Bank and ability to quickly grasp the political landscape and key people within the organisation
- Strong team player and solution orientated, has potential to act as a role model to peers
Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
